Purpose of the Role
To provide high-quality administrative and operational support to the HR consultancy team and its clients. The HR Administrator will assist with client projects, maintain accurate records, prepare documentation, and help deliver a professional and seamless HR service.
Key Responsibilities
Client Support & Administration
- Provide administrative support to HR Consultants delivering client services, including notetaking and issuing letters for employee relation issues, onboarding, maintaining employee records on Breathe HR.
- Prepare client-facing HR documentation such as offer letters, contracts, meeting invite letters, and outcome letters.
- Maintain organised digital client files ensuring compliance with GDPR and confidentiality agreements.
- Assist with preparing reports for clients.
- Manage the consultancy shared inbox, prioritising and responding to client queries professionally.
Project & Consultancy Support
- Help coordinate client meetings, disciplinary/grievance hearings, and consultations by preparing relevant paperwork and arranging diaries.
- Assist in creating templates for consultants to use.
Onboarding & Compliance
- Support onboarding for client new starters by preparing documentation and ensuring all compliance checks are completed.
- Track probation periods, training deadlines, appraisal dates and other key HR lifecycle events.
Internal Support
- Provide administrative support to the consultancy team (meeting notes, scheduling, invoicing support, document formatting).
- Assist with marketing activities such as basic social media scheduling, newsletter content preparation, and updating templates.
- Contribute to improving internal processes, templates, and client materials.
Skills & Experience
Essential
- Strong administrative experience, ideally within HR or a professional services environment.
- Excellent attention to detail and high accuracy levels.
- Strong written communication skills with experience preparing formal letters and documents.
- Ability to manage multiple tasks and prioritise effectively across different clients.
- High levels of confidentiality and professionalism.
- Confident with MS Office.
- Strong organisational skills and ability to work independently.
Desirable
- Experience working in an HR consultancy or outsourced HR environment.
- Knowledge of UK employment law basics.
- Experience using HR systems.
- CIPD Level 3 qualification.
