The Role The Tutor Resource Specialist is responsible for ensuring we always have the right tutor, in the right place, at the right time. This role sits between Scheduling and Recruitment and plays a critical part in protecting revenue, delivery quality, and tutor margin. You will proactively forecast tutor demand, build and maintain a strong employee based tutor network, in conjunction with associate trainers and quickly secure high-quality tutors when new courses are sold. Be proactive in developing current tutors or other staff to ensure they can deliver more and more courses. This is a commercially focused operational role — not a HR role. Key Responsibilities1. Tutor Forecasting & Capacity Planning • Review 0–12 week course pipeline weekly, • Identify upcoming tutor gaps before they become urgent, • Work closely with Sales and Operations to understand future demand, • Build subject-specific tutor capacity plans (CITB, NVQs, NEBOSH, ILM, PRINCE2, EUSR etc. 2. Tutor Sourcing & Fulfilment • Develop our internal pool of tutors. Recruiting 10-20 tutors per month., • Secure tutors for confirmed courses within agreed timeframes, • Develop a reliable associate tutor network across all delivery areas, • Negotiate day rates and protect company margin, • Ensure contingency tutors are available for key qualifications, • Manage urgent tutor sourcing where required, • Conducting interviews and ensuring compliance with awarding bodies., • You will be responsible for recruiting approved tutors and tutors who are coming from their respective industries and need development. 3. Tutor Relationship Management • Act as primary point of contact for associate tutors, • Maintain regular communication to keep tutor pool warm and engaged, • Monitor performance feedback from Operations, • Identify top-performing tutors and secure ongoing availability, • Support onboarding of new tutors in partnership with Recruitment 4. Commercial & Margin Protection • Track tutor costs per course, • Benchmark rates across subject areas, • Reduce last-minute premium sourcing, • Support long-term rate negotiations and framework agreements 5. Reporting & KPIs • % of courses with tutor secured 4+ weeks in advance, • Time to fill tutor gaps, • Course cancellations due to tutor unavailability (target: zero), • Tutor cost control and margin tracking We are looking for someone who is: • Highly organised and commercially aware, • Confident negotiating with external contractors, • Proactive rather than reactive, • Calm under pressure, • Data-driven and comfortable forecasting, • Recruitment, • Operations management, • Resource planning, • Training / education coordination What Success Looks Like in 12 Months • No courses cancelled due to tutor availability, • Majority of tutors secured 4+ weeks in advance, • Reduced emergency sourcing, • Improved tutor retention, • Strong, scalable tutor network supporting company growth, • The internal tutor base is around 100 employees.
