Front of House / Team Assistant for Boutique Finance Firm. Our client, a growing finance firm based in brand new offices is seeking a Front of House / Team Assistant to join the growing team. The role will be focussed on reception duties however you will be able to take on more and more administration work as the role grows.   Receptionist duties: Take full ownership and oversee the day to day running of the reception. Act as the first point of contact for any visitor/general queries. Manage meeting room bookings and assist with the set-up of meeting rooms or conflicts. Restocking of meeting rooms, kitchen and pantry. Keep reception, kitchen, pantry and meeting rooms clean and tidy at all times Providing drinks & refreshments and any special requests such as catering to external meetings & clients. Book couriers and sign for incoming packages. Sort incoming post and distribute appropriately. Answer all incoming calls promptly in a professional manner. Re-direct calls to appropriate department/staff & announce calls when required. Team Assistant duties: Coordinate and arrange all travels including flights, hotels and airport (supporting the team sec) Update Team schedule with each business trip Keep a track of all staff expenses after each trip Order stationary for the office Ensure all the printers have toners Keep accurate, up-to-date records of all employees’ telephone numbers (mobile and landline) Preparing documentation for meetings Extensive global diary management for the wider team
