Job Description Executive Assistant Newark, NJ (Onsite, Full Time) $80,000–$100,000 About the Role We are seeking a polished, highly organized Executive Assistant to support the Director of a large, fast-growing company. This is a high-impact support role for someone who thrives in a structured, fast-paced environment. The ideal candidate is detail-oriented, strong with presentations and documentation, confident in tracking goals and projects, and comfortable coordinating across multiple teams. You will play a key role in keeping leadership focused, prepared, and aligned while ensuring priorities and initiatives move forward efficiently. Key Responsibilities Executive & Administrative Support • Manage and optimize the Director's calendar and meeting priorities, • Prepare agendas, briefing materials, and organized follow-ups, • Take clear meeting notes and track action items to completion, • Maintain structured digital files and documentation systems Presentations & Reporting • Build and format professional PowerPoint presentations, • Prepare executive decks for leadership and cross-functional meetings, • Track departmental goals, KPIs, and project milestones, • Assist with reporting using Excel, • Maintain organized tracking sheets for deadlines and initiatives Project & Goal Tracking • Monitor project timelines and ensure consistent follow-through, • Track cross-team deliverables and provide status updates, • Proactively follow up with stakeholders to maintain accountability, • Identify delays and escalate when necessary Cross-Team Communication • Act as a communication bridge between the Director and internal teams, • Coordinate across operations, engineering, and support departments, • Draft professional internal communications and summaries, • Ensure clarity and alignment around priorities and updates Qualifications • 2–5+ years of experience as an Executive Assistant, Administrative Assistant, or Project Coordinator, • Strong PowerPoint Presentation skills with the ability to create clean, professional decks, • Basic to intermediate Excel skills, including tracking sheets and simple formulas, • Excellent written and verbal communication skills, • Highly organized with strong attention to detail, • Comfortable managing multiple priorities in a fast-paced environment, • Proactive mindset with the ability to anticipate needs, think ahead, and stay one step ahead of priorities, • Professional, dependable, and able to handle sensitive information discreetly What Success Looks Like • Leadership meetings are structured and well-prepared, • Presentations are polished, clear, and delivered on time, • Projects and goals are tracked with visibility and accountability, • Communication across teams is consistent and organized, • Leadership operates more efficiently because of your support Why This Role Matters This role directly enhances the effectiveness of senior leadership.
