Atrium is seeking on behalf of our client an Administrative Assistant based in Kearny, New Jersey. A background check may be run only after a conditional offer is made, where permitted by law. Position: Administrative Assistant Location: Kearny, New Jersey Employment Type: Full-time Compensation: $70-75k base Position Overview The Administrative Assistant will provide comprehensive support to executive leadership and the broader office team, ensuring smooth day-to-day operations. This role involves managing schedules, coordinating meetings, and handling administrative tasks with accuracy and discretion. The ideal candidate will be highly organized, adaptable, and able to collaborate across multiple departments. Must be legally authorized to work in the United States. Responsibilities • Manage calendars, schedule meetings, and send reminders to avoid conflicts, • Book conference rooms or set up virtual meetings via Zoom or Teams, • Screen and organize emails, flag priorities, and draft responses as needed, • Answer phones, direct calls, and manage eFax communications, • Maintain filing systems for both digital and physical documents, • Perform data entry and keep internal records accurate and up to date, • Coordinate schedules for two executive leaders and prepare meeting materials, • Take meeting notes, track follow-ups, and manage expense reports, • Arrange travel, including flights, hotels, and itineraries, • Order office supplies, manage vendors, and maintain organized common areas, • Receive and distribute mail/packages and troubleshoot minor office issues, • Assist with team events, track PTO, and support various departments as needed Required Experience/Skills • 3–5 years of administrative support experience, • Strong organizational and time management skills with ability to multitask, • Excellent written and verbal communication skills, • High level of integrity and discretion when handling sensitive information, • Ability to adapt quickly to changing priorities and environments, • Strong problem-solving and decision-making abilities, • Service-oriented mindset with strong interpersonal skills Preferred Experience/Skills • Experience supporting executive leadership or C-level executives, • Proficiency with Microsoft Office Suite and virtual meeting platforms (Zoom/Teams), • Familiarity with expense reporting systems and travel booking tools, • Ability to manage vendor relationships and office supply procurement, • Experience coordinating events or team activities Education Requirements • High school diploma or equivalent required, • Associate’s or Bachelor’s degree in Business Administration or related field preferred, • Additional certifications in office administration or executive support a plus Benefits If eligible under the ACA, medical, dental and vision benefits and time off in accordance with local paid sick time laws will be offered.
