We are currently seeking an Office Assistant who is highly organized, thrives in a fast-paced environment, communicates well, and brings a positive, can-do attitude to the team. What You’ll Do * Schedule appointments and manage client interactions (must be familiar with towns in Nassau and Western Suffolk). * Handle a high volume of incoming and outgoing emails, calls, and text messages—especially during peak seasons (spring and fall). * Input data using CRM software and submit backflow forms to various water departments and districts. * Communicate with field technicians daily. * Assist with marketing projects during downtime (e.g., creating newsletters with MailChimp, sending reminder emails). * Order and manage office/field supplies. * Provide administrative support to management. * Take on additional office tasks as needed. What We’re Looking For * People skills: polite, patient, and attentive. * Highly organized with strong attention to detail. * Emotional intelligence and problem-solving ability. * Multitasking skills to handle peak season demands. * Strong written and verbal communication skills. * Proficiency in Google Docs, Google Sheets, Microsoft Word, PDF handling, and email (Mailbird preferred). * High school diploma or GED equivalent. Preferred Skills * Experience in the service industry. * Knowledge of QuickBooks. Schedule & Hours * Full-time: Monday–Friday, 9:00 am–5:00 pm. * Saturdays as needed during peak seasons (April–June, October–November), typically 9:00 am–1:00 pm. * Expected hours: 38–46 per week.
