Job Summary:
We are seeking a highly organized and detail-oriented Office Administrator to join our growing real estate team. The ideal candidate will be responsible for ensuring the smooth operation of the office, supporting our agents and clients, and managing day-to-day administrative tasks. This key role requires strong communication skills, the ability to multitask, and a proactive attitude.

Key Responsibilities:
  • Manage front desk operations, including greeting clients and visitors, answering phone calls, and directing inquiries to the appropriate team members.
  • Maintain office supplies, coordinate maintenance of office equipment, and ensure the office remains a clean, organized, and professional environment.
  • Prepare and process documents, including contracts, listings, and other real estate-related paperwork.
  • Assist real estate agents with scheduling property showings, managing calendars, and coordinating client meetings.
  • Manage and update property listings on various platforms, ensuring accuracy and timely posting of new listings and status changes.
  • Maintain and organize client databases, property files, and records.
  • Coordinate and manage company events, meetings, and client appointments.
  • Assist in the preparation of marketing materials, newsletters, and social media updates.
  • Handle basic bookkeeping tasks, including invoicing, processing payments, and tracking office expenses.
  • Support the management team in any additional administrative tasks as needed.

Qualifications:
  • Proven experience as an office administrator, administrative assistant, or in a similar role.
  • Experience in the real estate industry is a plus but not required.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management software.
  • Strong communication and interpersonal skills.
  • Ability to multitask, prioritize, and manage time efficiently.
  • High attention to detail and strong organizational skills.
  • Familiarity with real estate databases (e.g., MLS) is an advantage.
  • A positive, team-oriented attitude and the ability to work independently.
