Job Description Operations Support Coordinator Location: Hurst, Texas Employment Type: Full-Time, Salaried Travel: 5%–10% Salary Range: $42,500 – $55,000 (commensurate with experience) Overview The Operations Support Coordinator plays an essential role in supporting the Chief Operating Officer (COO) with the daily functions of the Operations Department, which includes accounting, human resources, technology, and compliance. This position ensures that internal systems, vendor contracts, staff processes, and documentation are managed accurately and efficiently. The ideal candidate is organized, detail-oriented, and experienced in managing administrative operations within a fast-paced, mission-driven environment. Responsibilities: Accounting and Vendor Management • Review vendor invoices and payment requests for accuracy and documentation before submitting for processing in QuickBooks., • Maintain current vendor files, including contracts, W-9 forms, and insurance certificates., • Track contract renewals, compliance documents, and service end dates., • Organize accounting files and ensure expense reports include complete receipts and backup. Human Resources Support • Coordinate employee onboarding and offboarding, including technology setup, access permissions, and HR documentation., • Maintain digital personnel files in SharePoint and assist with document organization., • Schedule and track performance reviews and compile supporting materials., • Support the COO in coordinating staff trainings, professional development, and internal company events such as retreats and appreciation activities. Technology and Systems Management • Maintain the organization’s technology asset log, including serial numbers, warranty information, and assigned equipment., • Coordinate purchases, replacements, or retirements of equipment as needed., • Process technology and operations-related requests submitted through Zendesk, ensuring timely routing and resolution., • Track support requests and communicate status updates to the COO and staff., • (Optional) Monitor software license renewals and subscriptions in collaboration with the COO. Compliance and Departmental Coordination • Track compliance and renewal deadlines for organizational documents such as insurance, registrations, and SOP updates., • Assist with developing, formatting, and updating SOPs, compliance reports, and operational documentation., • Maintain version control and organized file systems in SharePoint and Teams., • Coordinate internal file reviews or audits to ensure compliance standards are met., • Support the COO in implementing process improvements and strengthening operational efficiency. Qualifications • Associate or bachelor’s degree in business administration, accounting, human resources, or a related field (or equivalent experience)., • 3–5 years of experience providing administrative or operational coordination support to senior leadership., • Intermediate to advanced proficiency in QuickBooks or comparable accounting software., • Intermediate to advanced proficiency in Microsoft Office 365 Suite (Excel, Teams, SharePoint, MS Planner/Project, Word and PowerPoint), • Knowledge of accounting and human resources principles is a plus., • Experience using ticketing systems such as Zendesk or similar platforms., • Strong organizational, communication, and time-management skills., • High level of professionalism, confidentiality, and discretion in handling sensitive information., • Ability to work collaboratively in a dynamic, fast-paced environment., • Demonstrated initiative, accountability, and commitment to continuous improvement.
