Job Description This is an in-person position, Bellmore, NY, USA We are looking for a reliable and organized Office Manager to oversee daily administrative operations at our busy autobody shop. This position plays a key role in coordinating communication between customers, technicians, and insurance companies while ensuring smooth workflow throughout the office. The ideal candidate is detail-oriented, personable, and experienced in managing office operations within an automotive or service-based environment; however, we are willing to train the right person. Key Responsibilities: • Manage the front office and serve as the primary point of contact for customers, vendors, and team members., • Check in customer vehicles, document condition, and ensure proper paperwork is completed., • Coordinate repair orders, promise dates, and scheduling to maintain efficient shop operations., • Answer phones, respond to emails, and handle day-to-day communication in a timely and professional manner., • Maintain accurate customer and vehicle records, including scanning and storing all required documentation., • Assist with billing, invoicing, and insurance claim coordination as needed., • Support management with administrative tasks, recordkeeping, and internal reporting., • Monitor office supplies, organize files, and ensure compliance with company procedures and standards. Qualifications: • Previous experience in office management, automotive, or autobody repair industry preferred., • Ability to perform vehicle intake and basic inspections as needed., • Strong organizational and multitasking skills with attention to detail., • Excellent written and verbal communication abilities., • Proficiency in Microsoft Office (especially Excel and Outlook)., • Professional, positive, and customer-focused attitude., • Valid driver’s license and ability to drive customer vehicles if required.Company DescriptionIn business for over 30 years with a reputation for quality work and excellent customer service.
