Job Description 1. Scheduling & Clinic Operations * Manage day-to-day scheduling for consultations, follow-ups, and in-clinic appointments. * Ensure optimal provider and staff utilization while maintaining a seamless patient flow. * Reduce no-shows, fill gaps in the schedule, and maintain high patient throughput. * Oversee front desk operations and maintain a clean, professional environment. 2. Sales & KPI Management * Responsible for achieving clinic sales targets, conversion goals, and related KPIs. * Monitor daily/weekly/monthly sales performance and proactively adjust strategies. * Oversee team execution of sales scripts, lead follow-ups, and patient conversions. * Collaborate with leadership to create promotions, campaigns, and outreach initiatives. * Conduct performance reviews tied to sales outcomes and lead management. 3. CRM Management, Lead Pipeline & Sales Enablement * Manage multiple CRMs to ensure accurate lead tracking and consistent follow-ups. * Develop workflows, templates, and automation to maximize sales efficiency. * Monitor outreach activity, lead pipeline stages, and conversion health. * Train team members on sales communication tactics and CRM best practices. * Analyze CRM data to identify trends and optimization opportunities. 4. Inventory & Product Management * Order, track, and manage inventory of medical supplies, weight loss products, and office materials. * Maintain accurate stock levels and conduct routine audits. * Reconcile inventory discrepancies and manage vendor relationships. * Ensure all products (e.g., medication, IV supplies, supplements) are consistently available. 5. Team Leadership, Hiring & Staff Management * Hire, onboard, train, and manage front office and patient coordination staff. * Set performance expectations and KPIs for the team. * Conduct coaching sessions, training refreshers, and staff evaluations. * Maintain staff schedules, coverage, and workflow coordination. * Foster a positive, collaborative, and high-performing clinic culture. 6. Patient Experience & Communication * Ensure high-quality patient interactions across phone, text, email, and in-person communication. * Resolve escalated patient concerns professionally and promptly. * Improve patient scripts, messaging, and communication standards. * Support a welcoming, patient-centered environment throughout the clinic. 7. Administrative & Compliance Support * Maintain accurate logs, documentation, and compliance records. * Support HR processes while upholding clinic policies, confidentiality, and safety standards. * Assist with rollout of new services, operational improvements, and workflow updates.
