Job Description Work Location: Falls Church, VA – hybrid (4 days on-site / 1 day telework) Employment: Full-Time Min. Education Requirement: Bachelor’s degree preferred Clearance: Not required, but familiarity with federal contracting is essential Classification: Exempt Program Overview: The Office Manager provides day-to-day operational support to the corporate executive team and ensures smooth functioning of the Falls Church office. This role handles core office management responsibilities while also supporting HR, Finance, and Business Development activities. The ideal candidate is organized, proactive, and comfortable working in a fast-paced government contracting environment with shifting priorities. Key Responsibilities: Office & Administrative Management • Serve as the primary on‑site point of contact for the Falls Church office., • Manage mail, scanning, document routing, and general office organization., • Maintain office supplies, equipment, and vendor relationships., • Coordinate travel arrangements, itineraries, and logistics for corporate staff., • Support scheduling, meeting coordination, and calendar management as needed., • Prepare correspondence, meeting materials, and internal communications., • Provide administrative support to senior corporate leadership to free up executive bandwidth., • Assist with special projects, follow-ups, and task tracking for the executive team., • Assist HR with job posting, candidate sourcing, resume screening, interview scheduling and ATS updates., • Coordinate communication between candidates, hiring managers, and program leadership., • Support onboarding activities, document collection, and personnel file organization., • Maintain recruiting trackers and assist with compliance related documentation., • Assist with handbook updates and compliance acknowledgements as necessary., • Assist the Finance team with Deltek Costpoint Time & Expense tasks., • Track timesheets, approvals, and related documentation for audit readiness., • Prepare and assist with employee expense reports and receipt reconciliation., • Assist with opportunity research and sourcing in SeaPort, GSA eBuy, and other federal procurement portals., • Track proposal deadlines, organize documents, and support submission preparation., • Maintain organized digital and physical filing systems., • Support corporate compliance tasks, training reminders, and document updates., • Provide backup support to HR, Finance, and Operations during peak periods., • 5–7 years of progressive administrative, office management, or corporate support experience, preferably supporting senior leadership., • Experience working in a government contracting environment (GovCon) is required., • Hands-on experience with Deltek Costpoint Time & Expense or similar systems., • Familiarity with ADP Workforce Now, • Strong organizational and prioritization skills with the ability to manage multiple competing deadlines., • Excellent written and verbal communication skills, with a professional and polished demeanor., • Proficiency with Microsoft Office Suite and Microsoft Teams., • Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.Preferred Qualifications:, • Bachelor’s degree, • Experience supporting HR, recruiting, and/or finance functions in a GovCon setting., • Familiarity with federal procurement portals such as SeaPort, GSA eBuy, or SAM.gov., • Prior experience supporting executive level staff. The employee must be able to lift and/or move up to 20 pounds.
