Job Description Receptionist Job Description JOB TITLE: Receptionist REPORTS TO: Practice Manager FLSA CLASSIFICATION: Non-Exempt Hourly STATUS: Full-time or Part-time SUMMARY OF JOB PURPOSE AND FUNCTION The purpose of this position inherently involves providing excellent customer care to our hospital clients. The receptionist represents the mission and values to all customers and is typically the first and last person a client encounters when entering our hospital. The receptionist is responsible, like all team members, for fostering cohesion and motivation within the practice. ESSENTIAL RESPONSIBILITIES AND TASKS Communicate with veterinarian, veterinary technicians and all other associates to maintain the flow of patients. Provide professional, efficient and exceptional service at all times. Educate clients on wellness plans, preventive care, pet health needs, hospital services and other issues. Obtain relevant information and history from clients and maintain proper and complete medical charts. Assume primary responsibility for answering the practice phone and routing calls appropriately. Maintain hospital appointment calendar including scheduling appointments from callers or visitors and reviewing on-line bookings as well as confirming appointments. Greet all visitors to the practice; greet clients and patients by name as they arrive for appointments and notify technical staff when they arrive. Monitor wait times and make accommodation as necessary during peak/busy times, or when medical staff is dealing with an emergency situation. Ensure that the waiting area is consistently cleaned. Train others in receptionist duties as needed. Possess basic understanding of practice workflow and roles in order to provide backup support to technical staff when rooms need to be loaded or patients need to be discharged and primary staff members are otherwise occupied. Other job duties as assigned. CAPABILITIES AND EXPERIENCE (CAN DO) • Ensure medical quality - Adheres to medical standards of care established by the veterinarian(s) and industry establishments including the AVMA, AAHA & AAFP. Advocacy for the health & safety of patients is the priority. Escalate concerns with urgency. Take ownership of actions and related feedback., • Ability to multi-task - Manages multiple tasks at one time; quickly and accurately shifts attention among multiple tasks under distracting conditions without loss of accuracy or appearance of frustration., • Communication skills - Reads, writes andneeds speaks fluent English. Demonstrates exceptionally strong written and verbal communication skills., • Organizational ability – Demonstrates a systematic approach in carrying out assignments. Is very orderly and excels at cutting through confusion and turning chaos into order., • Problem solving skills - Demonstrates a strong ability to identify, analyze and solve problems. Translates problems into practical solutions., • Client service skills - Consistently ensures the team provides the client with attentive, courteous and informative service. Gains and shows personal satisfaction from delivering great service., • Intellectual ability - Accurately and consistently follows instructions delivered in an oral, written or diagram format. Can provide directions., • Mathematical ability - Ability to add, subtract, multiply and divide, and to compute rate, ratio and percent; ability to convert units of measurement., • Initiative – shows willingness and aptitude to take appropriate steps in finding solutions to problems; presents options and ideas to enhance current processes or procedures. Takes on additional responsibility when both big and small tasks need to be done., • Integrity – Firmly adheres to the values and ethics of Roots Veterinary Hospital. Ability to work at a computer for long periods of time. Ability to be confident around pets (i.e., dogs, cats, birds, reptiles, etc.). The noise level in the work environment may be moderately high. Requires sufficient ambulatory skills in order to perform duties while at hospital, for example the ability to stand, walk, stoop, kneel, crouch, and climb as well as manipulate (lift, carry, move) up to 50 pounds. Associate is routinely exposed to a variety of pets that may bite or scratch, and on occasion, exposed to anesthesia, radiation, biological hazards and medication/controlled substances. EXPERIENCE, EDUCATION AND/OR TRAINING High School Diploma or equivalent preferred. Must be able to perform all duties and responsibilities as outlined above. Must be at least 18 years old to perform duties involving radiography (x-ray) and exposure to radioactive substances. Previous experience preferred with a strong focus on customer service.
