Job DescriptionPosition Overview We are seeking a highly organized and detail-oriented Administrative Accountant to support both financial operations and administrative functions. This unique role blends traditional accounting responsibilities with high-level administrative coordination, offering a dynamic and impactful opportunity for a motivated professional. Key ResponsibilitiesAccounting Duties * Manage the full accounts payable process, including invoice intake, coding, authorization, and payment processing. * Maintain schedules of financial assets, including fair market values and income metrics. * Assist with monthly and annual financial close processes across multiple entities. * Support tax preparation by compiling work papers and coordinating with external accountants. * Prepare and file 1099 forms. * Reconcile all bank accounts monthly. * Assist in administering grant-making activities. * Communicate with a wide range of stakeholders, including property caretakers. * Perform general ledger reconciliations and ad-hoc financial analyses. * Provide clerical and administrative support to management. * Maintain an organized and up-to-date accounting filing system. Administrative Duties * Monitor and prioritize a high volume of business, nonprofit, social, and personal communications. * Maintain a complex calendar with business, nonprofit, social, and family commitments. * Coordinate detailed domestic and international travel itineraries, including last-minute changes. * Schedule and organize meetings, appointments, and conference calls, including preparation of materials. Qualifications * Proven experience in accounting and administrative support roles. * Strong understanding of general ledger, accounts payable, and financial reconciliation. * Familiarity with tax documentation and compliance (e.g., 1099s, tax estimates). * Exceptional organizational and communication skills. * Ability to manage sensitive information with discretion. * Proficiency in Microsoft Office Suite; experience with accounting software is a plus.
