The Bookkeeper/Administrative Assistant will be responsible for day-to-day tasks such as handling accounts payable/receivable, collections, as well as offering support to other accounting functions. Responsibilities Proficient in QuickBooks Desktop & QuickBooks Online (QBO), BILL.com & Microsoft Office Verify and set up new vendors in accounting system. Verify the accuracy of payables and supporting documents, resolve any discrepancies, process vendor invoices. Maintain and monitor records of payables and make recommendations for prioritizing payments. Strong phone etiquette and communication skills to effectively interact with clients and customers. Coordinate with other departments on past-due accounts and submit invoices/ statements to customers. Administer collections methods and maintain cyclical communication with client accounting teams to assure effective cash in-flow process. Verify and record customer payments, deposits, and transactions. Maintain and distribute W-9’s, 1099’s, Vendor Setup Forms, Credit Applications Organize and maintain accurate records of receipts and other source documents to support credit card purchases. Perform cash and credit card reconciliations in the accounting system. Create monthly statements and reports for AP & AR- collections. Verify the accuracy of customer accounts and billing records. Recognize opportunities for process improvement across accounts payable & collections process. Practice routine standards of corporate accounting principles and procedures efficiently with prudence. Provide support with routine audits if/when required. Provide administrative support as needed. Ad hoc duties as required.
