HELP USA has a portfolio of over 40 separately located sites and programs, primarily in the Greater New York City area, that provide transitional housing and other services for families and single adults experiencing homelessness as well as homelessness prevention and domestic violence programs. There is tremendous variety in HELP’s portfolio of programs, including idiosyncratic buildings with significant maintenance requirements. We’re currently seeking a Senior Vice President of Facility Operations who will report directly to the Chief Operating Officer. You will oversee preventive and corrective maintenance, capital projects for all properties in the portfolio, and safety and security. You’ll be responsible for direct oversight of a team of 2-4 key staff including, but not limited to, - Director of Field Coordination who indirectly oversees the site Maintenance Directors, ensuring consistent standards of building maintenance operations, managing preventive maintenance, and overseeing improvement and infrastructure projects. - AVP of Safety and Security who also indirectly oversees the site Safety Directors, ensuring consistent standards of safety operations, preventive aspects of security, and fidelity to City, State, and/or Federal safety standards. Your responsibilities will include: - Implementing best practices and industry standards for all aspects of physical plant management with emphasis on onsite maintenance work as it relates to the development of scope of work, overseeing vendor and contractor selection, managing the sealed bid process, arranging the schedule for proposed work, and ensuring work is completed on schedule and within budget. - Serving as agency expert and key stakeholder amongst architectural firms and general contracting companies for overseeing construction and renovation projects, including preparation of project cost estimates, work scopes, RFPs, and bid/contract documents. - Developing and/or engage with digital systems that provide services through an on-line platform to include, but not limited to, work orders, sign-in process, bed roster, client wellness checks, etc. - Reviewing key metrics and reports by utilizing the digital system to help run day-to-day operations. - Conducting routine site visits to ensure maintenance operations are running smoothly and address site specific concerns and provide recommendations for improvement. - Providing guidance for day-to-day management of systems and coordination between various departments with the Director of Field Coordination. - Developing policies and procedures for facilities management and creating effective communication, management, and reporting systems as needed. - Ensuring timely preparation and monitoring of executive-level departmental reports, i.e budget reports, project status & schedules, violation status reports, and inspection reports. - Reviewing and approving emergency repairs, proposals, and invoices. - Interacting with various high-level city and state agency officials involved in inspecting and regulating HELP properties and programs, including, but not limited to, NYC DHS, NYC HPD, NYC DOB, and OTDA. - Accomplishing organizational goals by accepting ownership for new and different requests/special projects to add value to departmental performance. - Directing and prioritizing work resources including strategic decisions regarding insourcing and outsourcing of skilled trade resources. - Reviewing Maintenance and Safety Director new hires, transfers, and terminations. - Overseeing site safety compliance and maintenance and safety-related incident reports. - Ensuring that all fire and safety equipment is functioning properly. - Participating and representing the agency in industry/professional networking opportunities and events. - Ensuring that all safety and maintenance personnel are aware of HELP USA's philosophy, funder policy, and procedures. - Conducting confidential investigations as directed. - Conducting monthly Operational Maintenance and Safety Director meetings. - Maintaining the New York State Security Guard Registration. - Assisting in the annual performance appraisal evaluations of Maintenance and Safety Directors. - Interfacing with executive management on matters of policy and procedures related to Safety and Maintenance personnel and the respective Departments. - Ensuring that the Maintenance and Safety Department's needs, goals, and mission meet the needs of all clients, personnel, and physical plants. You’re a great fit for this role if you have: - Bachelor’s Degree preferred but a combination of relevant course work and at least seven years of experience in Facilities Management with an organization that has a diverse portfolio will be considered. - Strong project management and construction management skills and experience required. - Ability to analyze and resolve highly difficult problems, integrate information from multiple sources, utilize creative thinking, and exercise considerable judgment and resourcefulness. - Knowledge of and experience with shelter operations, NYC DHS requirements, and other applicable regulatory agencies. - Ability to take initiative, work independently with minimal supervision, and follow through to completion. - Strong interpersonal skills enabling effective interactions with landlords, contractors, repairmen, regulatory bodies, city, and state inspectors, etc. - Strong organizational skills, with the ability to multitask and manage frequently shifting priorities. - Team player with the ability to interface effectively with all levels throughout the organization. - Outstanding oral and written communication skills. - Outstanding computer literacy, particularly with Microsoft Office applications. Description Position Overview: The Life Coach at Lee Goodwin Residence provides comprehensive case management, outreach, and counseling to the residents at our supportive housing facility for young adults aging out of foster care between the ages of 18-28 year olds. The Life Skills Coach will provide referrals to: education and career programs such as: HSE, Vocational Training, Employment, and Internships. As well as: Substance Abuse Treatment, and Mental Health Services. Salary: $48,000 to $52,000 (base salary commensurate with education, training and related work experience) Responsibilities: • Conduct a comprehensive intake assessment for all new residents and review the agency’s policies and procedures with them. Develop treatment plan for all residents. Monitor clients’ emotional, social and physical well-being, as well as their progress • Maintain concise and accurate resident files in Salesforce database • Monitor residents’ medication • Provide residents with necessary referrals, including emergencies such as hospitalization, detox, etc. Inform residents about on- site, agency and community resources that are available to them. • Participate in case conferences, staff meetings and training sessions and represent the agency at assigned meetings and conferences. • Input data in Salesforce data base daily for all of the residents. • Attend professional development trainings, supervision meetings, case conferences, and staff meetings. • Provide monthly statistical reports on time and accurately. • Work cooperatively with staff at all levels to ensure quality service provision and the development and improvement of team performance. • Assist residents in the planning, prioritizing and long-term goals and short-term goals. • Maintain and oversee documentation of case files for compliance with regulatory agency. Full Job Description Mercy Drive, Inc. is looking for a Day Habilitation Driver/ Direct Support professional (Bilingual Spanish) Must have at least a high school diploma or GED. Must be able to drive a 12-15 Passenger Van. 30 Hours a week. Monday-Friday 7am-3pm (3 days a week) Duties include the following: (other duties may be assigned) 1. TO ENSURE SAFETY OF ASSIGNED PARTICIPANTS DURING THE PROGRAM HOURS AND PARTICIPANT IS NOT SEPARATED FROM A GROUP AT ANY TIME; EACH PARTICIPANT IS ACCOUNTED FOR WHEN THEY ARE OUT IN THE COMMUNITY OR USING ANY PUBLIC FACILITIES. TRANSPORT INDIVIDUALS. 2. To assist participants in attaining skills according to their abilities and behavioral needs identified in Group Day Habilitation Plan such as adaptive skills, socialization and communication skills, money management and travel training skills and additional individualized skills to be discussed with the Program Supervisor, participant, and circle of support. 3. To inform the Program Supervisor immediately about suspected incidents of any types of abuse, exploration, and neglect to the Individual during the service time, to document it in writing, and to report within 12-24 hours of incident discovery. 4. To always take into consideration that extra patience and understanding is imperative and essential when interacting with people who have special needs with physical and/or mental limitations. To be emotionally and physically capable of caring for members of this population. 5. To provide professional direct assistance and adequate supervision to participants during the service time and before ending the service, to remain always calm. To present as a positive role model for the individual. 6. Staff must perform a headcount of every participant before leaving and upon arrival at any location or destination including getting on and off vehicles, elevators or other mold of transportation. 7. To follow community safety agreement and professional boundaries policy at all times. 8. To complete and submit monthly summary notes and individual summary to Program Supervisor by the 5th of the month documenting continuous progress reviews according to OPWDD and the agency standards. 9. To ensure proper personal hygiene; to assist the participants with self-care, toileting, showering, tooth brushing, grooming, dressing and others as needed. To ensure the participant’s diaper is always clean. To check the diaper once again before dropping off the participant. 10. To assist in developing, coordinating and implementing curriculums and goals related activities by following the program’s schedule for each Individual and accompany participants safely to community resources (stores, places of worship, Library, Park, Museum, Grocery store, recreation and health facilities etc.) in order to promote the usage of available ordinary community resources. 11. To maintain daily documentation, to clock in/out daily, and to complete other Day Habilitation Documentation as required by the Program and the Supervisor. 12. To meet the deadlines assigned by the Program Supervisor, to ensure the documentation completed properly and submitted on time. 13. To maintain in the program a healthy and positive environment, including but not limited to safety, program/vehicle cleanliness, and maintenance of program supplies. Assist the driver in maintaining a safely operated bus (making sure Participants are properly seated and buckled up during transit) 14. Monitor riders’ behavior during trips and report any sign or symptoms of illness or adverse medication reaction to the site supervisor in order to implement an appropriate plan of action. 15. To perform monthly fire drills with participants at the program. 16. To report “in” and “out” of the Participant’s home or at the Community by contacting Program Supervisor. 17. To inform the Program Supervisor immediately about any issues/problems by using the Agency Cell Phone. 18. To use communication skills in order to participate effectively as a team member. 19. To use equipment and supplies efficiently and inform the Program Supervisor of shortages/needs. To maintain agency cell phone, E-Z pass and other agency property accurately. 20. To keep Program’s Supervisor informed immediately of any changes in participant’s or work schedule. To report the program’s supervisor one day prior in case of calling for sick day off. 21. To participate in scheduled group supervision and/or biweekly meetings, to attend in-office or OPWDD provided trainings when appropriate and relevant to job duties in order to increase knowledge of services and share professional support. To attend Initial/Annual/Semi-Annual Day Habilitation Plan reviews and other meetings if required. 22. Perform other/additional duties as assigned by Executive Director, Program Manager and Program Supervisor. 23. Transport Individuals in 12 Passenger Vans.
