The role requires strong organizational skills, effective communication, and a proactive approach to ensure smooth operations and a positive experience for employees and stakeholders alike.
The Administrative Assistant will be responsible for the following key duties:
  • Vendor Relations:

Manage relationships with local suppliers, including office services, optional benefits, and other service providers.
  • Executive Support:

Assist the Director in managing travel arrangements, including booking flights, hotel accommodations, and other related needs.
  • Billing and Financial Coordination:

Work closely with the Finance team to manage monthly payments to third parties and suppliers for specific events or projects.
Mantain relation and follow up with vendors as office building, Health Insurance, Parking, Labor Risks, telephone servicie etc.
  • Employee Support:

Assist employees in Spain with specific processes or inquiries, including onboarding, job-related matters, or other requests as they arise.
Work closely with Human Resourses team to follow up on specific topics related to their area.
Facilitate the provision of necessary work equipment and accessories, ensuring coordination with relevant teams.
Support with administrative tasks, such as drafting letters for visa permissions, managing medical leaves, or addressing other specific needs.


  • Employee Engagement

Coordinate and communicate birthday greetings, including arranging gifts like cakes and cards.
  • Event Management:

Organize and oversee special events, such as Paella Festival, Gatherings, Christmas celebrations, and employee birthday lunch.
Provide logistical support and coordinate meals and catering services and printed materials for corporate meetings and events such as customers summits , Kick off or others .
