We are seeking a highly organized and proactive Admin Assistant to join our dynamic team. This role is pivotal in ensuring the smooth operation of our business processes. Responsibilities: As an Admin Assistant, your duties will include: Order Management: Accurately enter sales orders into Unleashed, our order management system. Ensure precise data entry and double-check information to avoid errors. Print and initial delivery notes, confirming accurate entry. Track and maintain records of dispatched sales orders. Stock Management Support: Review stock levels and prioritize selling dead stock. Liaise with team members for purchase order approvals. Monitor pending stock orders and follow up with relevant parties. Customer Support: Follow up on quotes to convert them into confirmed sales. Maintain professional communication with customers via phone and email. General Administrative Duties: Handle incoming calls and emails, directing them to the appropriate team members. Organize and maintain filing systems for documents and delivery notes. Assist in booking couriers and tracking deliveries. Ensure timely submission and proper organization of delivery notes and related documents. Team Coordination: Collaborate with the warehouse team to confirm dispatch or delivery dates before communicating with customers. Maintain and update internal communication tools, including WhatsApp groups and other systems. Requirements: Previous experience in an administrative or customer service role is preferred. Proficiency in Microsoft Word and Excel is preferred. Strong organizational skills and attention to detail. Excellent communication and interpersonal skills. Ability to work effectively in a fast-paced environment. In-house training will be provided to familiarize the successful candidate with our software and internal systems. Job Summary: We have been exclusively retained by one of our prominent clients to support in selection for an Assistant Company Secretary. This vital role encompasses a blend of corporate governance responsibilities and office administration functions. The ideal candidate will play a pivotal role in maintaining statutory records, ensuring the company’s full compliance with regulatory frameworks, and providing essential administrative support to the board. This position is instrumental in ensuring that all governance protocols, legal requirements, and office operations are managed seamlessly, contributing to both the strategic direction and daily operational efficiency of the organization. Key Responsibilities: · Assist the Company Secretary in providing governance support to the board of directors, ensuring compliance with corporate governance standards and internal regulations. · Organize and manage board meetings, prepare agendas, take minutes, and ensure that all action points are followed up. Maintain communication between board members and senior management. · Maintain and update statutory registers and records, ensuring compliance with all legal and regulatory requirements. Ensure proper documentation of company activities and resolutions. · Ensure compliance with statutory and regulatory filings, including annual reports and submissions to government authorities (e.g., Companies House). Assist in the preparation of compliance reports for internal and external stakeholders. · Prepare and submit all necessary statutory documents to regulatory bodies, ensuring accuracy and timely filing to avoid non-compliance penalties. · Liaise with external regulatory bodies, auditors, and legal advisors to facilitate accurate reporting and governance activities. Ensure clear communication between all stakeholders on governance and compliance matters. · Oversee general office administration tasks including managing correspondence, scheduling meetings, and maintaining office supplies. Provide administrative support to board members and the management team. · Assist in the onboarding and training of new board members. Ensure they are familiarized with their governance responsibilities, statutory duties, and internal processes. · Assist in identifying governance risks and implementing risk mitigation strategies to safeguard the organization’s legal standing and corporate reputation. Qualifications and Skills: · Bachelor’s degree in Business Administration, or a closely related field. · 2-3 years of proven experience in a office management, company secretarial role or within corporate governance, with a strong track record of delivering effective governance support. · Ability to ensure compliance and governance excellence. · Exceptional organizational skills, with a meticulous attention to detail, ensuring accuracy and thoroughness in all governance-related tasks. · Proficiency in company secretarial software and related office tools, ensuring efficient management of statutory records and compliance documentation. · Strong communication and interpersonal abilities, enabling effective liaison with board members, senior management, and external stakeholders. · Demonstrated capacity to handle confidential information with the utmost discretion and maintain a high degree of integrity in all dealings. · Excellent time management skills, with a proven ability to manage multiple priorities effectively and meet strict deadlines in a fast-paced environment.
