We are seeking a highly organized, proactive Administrative Assistant to provide comprehensive support across both professional and personal tasks. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs, and takes pride in keeping operations running smoothly, this is on-site 5 days a week in their Patchogue and Calverton office locations. Key Responsibilities: • Prepare and process payroll, track hours, and maintain accurate records, • Manage complex calendars, appointments, and scheduling across multiple priorities, • Coordinate and prepare for meetings, including agendas, materials, and follow-ups, • Handle administrative tasks such as filing, document preparation, and correspondence, • Run personal and professional errands as needed (e.g., scheduling services, coordinating deliveries, reservations), • Act as a gatekeeper—prioritizing requests, managing communications, and maintaining discretion, • Proven experience as an Administrative Assistant, or similar role, • Strong organizational and time-management skills with the ability to multitask, • Experience with payroll preparation is preferred but not required, • Excellent written and verbal communication skills, • High level of discretion, reliability, and professionalism, • Proficiency with Google Workspace and/or Microsoft Office, • A trusted, impactful role with variety and autonomy, • Competitive compensation based on experience, • Supportive, respectful working environment
