Position: Finance & Revenue Cycle Manager, WHSP Medical and WHSP Institute Location: Brighton, MA (in-person) Hours: Approximately 9:00 a.m. - 6:00 p.m., Monday – Friday Reports To: Dr. Kathryn Ackerman, President and Director, and Esther Lofgren, COO About Us: Women’s Health, Sports & Performance (WHSP) Medical, P.C. is an interdisciplinary medical practice providing comprehensive care to female athletes of all ages. Together with our strategic partner the WHSP Institute, WHSP Medical is committed to transforming female athlete health across the lifespan through evidence-based, athlete-centered care. The WHSP Institute is a non-profit research and outreach institute dedicated to driving advancements in our understanding of female athlete health and performance, and sharing those discoveries globally to transform the state of women’s health overall. Both the Practice and the Institute are supported by a mission-driven leadership team and are in an early, high-growth stage. WHSP Medical and WHSP Institute are led by Dr. Kathryn Ackerman, a triple-boarded physician in Internal Medicine, Sports Medicine, and Endocrinology, Co-Chair of the U.S. Olympic & Paralympic Women’s Health Taskforce, and Chair of U.S. Rowing’s Medical and Sports Science Committee. The Role: We are seeking a highly capable Finance & Revenue Cycle Manager to support the operational and financial backbone of WHSP Medical and WHSP Institute, with workflow split approximately 80/20 across the two organizations. Reporting jointly to Dr. Ackerman, President, and Esther Lofgren, COO, and working closely with Jennifer Thompson, Practice Manager, this is a hands-on role for a self-directed professional who thrives in startup clinical and non-profit environments. You will own the day-to-day financial and revenue cycle operations of the Practice and Institute while also helping design and scale systems, processes, and strategies that support sustainable growth. This role requires deep familiarity with medical practice finances, strong working knowledge of Athena, and the ability to partner effectively across clinical, administrative, and external teams. Likewise, the role requires experience as the party responsible for nonprofit financial statements, including managing third-party audits, Form 990 support, etc. Key Responsibilities: • Own and manage WHSP Medical’s revenue cycle operations, partnering closely with an outsourced billing company to optimize performance and reimbursement., • Serve as the internal expert on Athena (EHR/PM), ensuring accurate workflows, reporting, and financial data integrity., • Provide oversight of coding and billing processes at a quality-control and systems level (not primary coding execution)., • Strong experience in one or more accounting software systems (QuickBooks, etc.), • Lead financial reporting, forecasting, and analysis, and co-own the budgeting process for the Practice and Institute., • Work with external accountants and financial partners to ensure accurate accounting, compliance, and reporting., • Develop and improve reimbursement strategies, payer-related processes, and operational procedures for the Practice and Institute., • Support the design and implementation of cash-pay offerings, including bundled service strategies, for the Practice and Institute., • Partner with the Practice Manager and COO to align operational workflows with financial best practices for both the Practice and the Institute., • Support financial and operational planning related to Practice growth, including telehealth expansion and remote personnel., • Identify opportunities for process improvement, cash flow optimization, and scalable systems as the clinic grows., • Maintain discretion and professionalism when handling sensitive financial and operational information., • Adapt quickly to evolving priorities in a fast-paced, early-stage clinical and non-profit environment. The ideal candidate has the following qualifications: • A Bachelor’s degree in finance, accounting, business, or a related field (or equivalent experience), • At least 3 years of experience in medical practice finance, revenue cycle management, or related operational roles, • Strong preference for experience in Athena (EHR/PM), • At least 2 years of experience in nonprofit financial management, financial statements, and third-party audit / Form 990 domains, • Strong experience with one or more accounting software systems (QuickBooks, etc.), • Experience working with outsourced billing vendors and managing revenue cycle workflows, • Familiarity with coding standards (CPT/ICD-10) sufficient for oversight and quality assurance, • Proven ability to produce financial reports, forecasts, and operational insights, • Comfort working in a startup or early-stage clinical and non-profit environment where processes are still being built, • Strong organizational, analytical, and communication skills, • Ability to work collaboratively across teams without direct supervisory authority The ideal candidate possesses the following traits: • Collaborative, team-oriented approach with a willingness to roll up sleeves, • Strong integrity, sound judgment, and attention to detail, • Operationally excellent with a strategic mindset, • Comfortable working independently with limited structure, • Mission-aligned with WHSP Medical and WHSP Institute’s commitment to advancing female athlete health, • Adaptable, resourceful, and motivated by building systems that scale What We Offer: • Opportunity to play a foundational role in a rapidly growing medical practice and non-profit research and outreach institute, • Direct partnership with senior leadership, • Meaningful work supporting athletes and advancing women’s health, • Professional growth as the practice scales, • Dynamic, mission-driven work environment, • Minimal travel requirements, • Competitive salary and comprehensive benefits package WHSP Institute and WHSP Medical are equal opportunity employers.
