Position Summary: We are looking for an enthusiastic full-time Events Manager to promote and book events in our various locations. As a member of the Events and Marketing Team, this self-starter will serve as one of the "office voices" of the Events Team, and work will include but not be limited to, interfacing with prospective customers, answering and returning phone calls, follow-up with inquiries, extensive computer data entry, on-site event support, and programming coordination. Job Duties: ● Work with customers through emails and phone calls to solidify event dates, room set-up, technical needs, and menu selection as well as provide proposals, contracts, and invoices. ● Maintain accurate and up‐to‐date records for all event management projects, including clients, vendors, entertainers, speakers, attendees, etc., and enter accurate information into the database; ● Ensure events reflect and uphold the organization's mission, values, and brand identity. ● Work closely with restaurant managers and internal departments (marketing, operations, bookstore, and back of house) to ensure all event needs are met. See to it that all necessary information is conveyed and materials are delivered in a timely manner. ● Provide on-site support at the restaurant, when necessary ● Assist the Events and Marketing team with ongoing projects ● Look for ways to improve and promote the quality of events; demonstrate accuracy and thoroughness in all assigned tasks ● Respond to requests/meet commitments consistently. ● Demonstrate attention to detail and a creative flair. ● Identify and resolve problems in a timely manner; gather and analyze information skillfully ● Work within approved budgets; develop and implement cost-saving measures; contribute to profits and revenue; conserve organizational resources. ● Develop strategies to achieve organizational goals; understand organization's strengths and weaknesses; analyze market and competition; identify external threats and opportunities; adapt strategy to changing conditions. ● Cultivate relationships with artists, authors, educators, nonprofits, and community leaders to curate dynamic programming. ● Conduct community outreach to strengthen partnerships, increase visibility, and attract new audiences. ● Represent the organization at community events, networking opportunities, and industry gatherings to drive business and build brand presence. ● Represent the company and brand at off-site and professional events. ● Support all teams in other tasks, as needed. ● Must be present for High Touch, High Dollar, or High Profile events. ● Must maintain open availability, including the ability to work evenings, weekends, and holidays. ● Must have reliable transportation. Skills and Qualifications: Candidates should be personable, have excellent time management and project management skills, and be proficient in database management. This position requires a passion for events and for creating a high-quality guest experience. This position will include a fair amount of database entry as well as email and telephone correspondence. PHYSICAL DEMANDS The role of an Events Manager is both physically and mentally demanding. This position requires sitting, standing, and walking for extended periods throughout the shift. Events Managers must be able to lift and carry up to 50 pounds. Events managers typically work 40 hours per week; however, due to the nature of the business, schedules may include extended, irregular hours, including evenings, weekends, and holidays. Stock cabinets or serving areas with condiments and refill condiment containers., • Serve ice water, coffee, rolls, or butter to patrons when required, • Fill beverage or ice dispensers, • Serve food to customers when food runners, bartenders or servers need assistance, • Clean and polish counters, shelves, walls, furniture, or equipment in food service areas or other areas of restaurants and mop or vacuum floors. Job Type: Full-time, Exempt, Salaried/ 50 hour work week Starting Salary: $65,000-$68,000 RESPONSIBILITIES This role will incorporate the following duties: • Serving as an Advocate for the Busboys and Poets brand, • Upholding Busboys and Poets standards for employee performance and guest service, • Promoting cooperative effort, a team spirit, and good morale among employees, • Coaching and developing other staff members up to be promoted, • Evaluating employee performance, resolving personnel problems or grievances and ensuring that all information related to personnel is properly documented in the employees files, • Conducting and attending staff meetings, such as preshifts (daily) and manager meetings (weekly)Coordinating and facilitating existing training programs for new hires, • Working closely with fellow Managers and the General Manager to ensure effective business operations, • Investigating and resolving guest complaints regarding food quality, service, or accommodations in a polite, friendly manner and while delivering excellent customer service, • Supervising staff in terms of food preparation, customer service, cleaning, and repairs to restaurant and grounds, • Understanding and coaching on all software, including payroll, POS, waitlist, accounting, scheduling, etc, • Managing one or more department schedules, as needed, • Monitoring compliance with health and fire regulations, • Arranging for equipment maintenance and repairs, and coordinating services such as waste removal and pest control and order and purchase equipment and supplies, • Counting money and making bank deposits, • Looking over financial statements, sales reports and other performance data to gauge productivity and achieve daily, weekly and monthly sales goals, • Serving as point of contact for vendor account issues, skipped invoices, credits etc, • Coordinating with Kitchen Managers to ensure standards are being maintained for cleanliness, sanitation and safety, • Managing seamless execution of events with the support of the Events Team, • Ensuring the cleanliness of the space, • Performing daily inspections and periodic audits to check safety of equipment and to ensure that food is cooked properly, as well as reaching out for support when equipment is not functioning, • Helping with duties of other employees (i.e. host, busser, server, cook, etc.) when necessary because of an unexpected absence or extra volume, • Maintaining a working knowledge of all menu items, products and production procedures, • Performing some food preparation or service tasks such as cooking, clearing tables, and serving food and drinks, when necessary, • Performing other work-related duties as assigned REQUIREMENTS • Served as a Front-of-House/Floor Restaurant Manager at a full-service restaurant for at least 2 years, • High school diploma, GED certificate, or demonstration of sufficient reading and math skills to read manuals and prepare computer reports as required; hospitality and restaurant management certification or college degree preferred, • Strong team-building and communication skills to train and motivate employees, • Excellent customer service, treating guests like family, • Strong time management skills and accuracy to deal with a variety of duties Strong technical aptitude and computer skills (e.g., Web-based applications, Mobile applications, Excel, Word)Willingness to work evenings, weekends and holidays, as required, • Ability and commitment to meet deadlines, even during high volume periods. JOB RESPONSIBILITIES • Completes store operational requirements by scheduling and assigning stations for employees, • Maintains store staff by recruiting, selecting, orienting, and training employees, • Maintains store staff job results by coaching, counseling, disciplining, and terminating employees; planning, monitoring, and appraising job results, • Achieves financial objectives by monitoring sales targets, maintaining budgets, and properly forecasting labor, • Upholds excellent standard of customer service, • Ensures availability of merchandise and services by communicating with vendors; maintaining inventories, • Maintains a safe and clean environment for customers and employees, • Rolls out new menu items to team members and communicates these changes throughout the retail space, • Processes weekly payroll in a timely and accurate manner, • Orders and maintains uniform supply and successfully holds all employees to uniform standard, • Addresses all maintenance issues JOB REQUIREMENTS • ServSafe Manager Food Handlers license required, • 2+ years of experience in a food retail management role preferred, • Prior experience managing a team required, • Excellent communication and problem-solving skills, • Possess dexterity to prepare and serve guests all menu items in accordance with established service and build-out standards, • Able to push/pull/lift 50 lbs of weight regularly, • Stand for extended periods of time regularly, • Walk up and down stairs regularly, • Stand, bend and reach for prolonged periods of time, • Ability to multi-task and thrive in a fast-paced environment PERKS + BENEFITS • Employee Scoop Card (Enjoy Ice Cream from any of our scoop shops nationwide), • Medical, Dental + Vision Insurance with 70% Employer Contribution, • 401k with up to 4% Employer Match, • Cell Phone Reimbursement Plan, • Paid Time Off - 3 Weeks / 120 Hours Total, • Paid Sick Time, • Yearly Performance Reviews Van Leeuwen Ice Cream is committed to pay transparency and equity among all employees and provides employees an environment where pay transparency and dialogue on compensation are allowed.
