Ildi Pekar Skin Care Studio is a results-driven, luxury skincare destination known for advanced treatments, personalized care, and a loyal clientele. We are seeking a highly organized, proactive, and detail-oriented Office Manager to oversee daily operations and support the continued growth of the studio.
Position Overview
The Office Manager will be responsible for managing all front and back office operations, ensuring an exceptional client experience while maintaining efficient internal systems. This role requires a strong balance of administrative expertise, leadership ability, and marketing coordination.
Key Responsibilities
Office Administration
Oversee daily studio operations and ensure smooth workflow
Manage appointment scheduling, confirmations, and client communications
Maintain client records and database accuracy
Handle phone calls, inquiries, and front desk coordination
Monitor and order office and treatment supplies
Coordinate with vendors, service providers, and maintenance
Maintain cleanliness, organization, and overall studio presentation
Implement and improve administrative systems and procedures
Management Duties
Supervise front desk staff and support estheticians as needed
Create and manage staff schedules (4-day workweek structure)
Train new team members on systems, protocols, and service standards
Ensure high-level customer service and resolve client concerns professionally
Track performance metrics and assist in achieving business goals
Maintain a positive, team-oriented work environment
Payroll & Financial Tasks
Process payroll accurately and on schedule every 2 weeks
Track employee hours
Create monthly sale reports
Assist with bookkeeping tasks, invoicing, and expense tracking
Email Marketing & Communications
Plan, create, and execute email marketing campaigns
Manage client email lists and segmentation
Write and schedule newsletters, promotions, and announcements
Analyze email campaign performance (open rates, conversions, etc.)
Coordinate marketing efforts with social media and promotions calendar
Qualifications
Previous experience as an office manager, studio manager, or similar role
Strong organizational and multitasking skills
Experience with payroll systems and basic financial tracking
Proficiency in email marketing platforms (e.g. Klaviyo)
Excellent communication and customer service skills
Ability to work independently and take initiative
Interest in skincare, wellness, or beauty industry is a plus
