Hi, we’re Speks, a Brooklyn-based product design company creating premium sensory products for teens and adults. We sell globally across wholesale, retail, and DTC, and we’re growing fast. We’re looking for a Finance & Legal Operations Coordinator to help manage the financial, legal and administrative side of the business. This is a hands-on role focused on receivables oversight, banking, insurance, legal coordination, vendor setup, HR support, and keeping key business systems organized and up to date. You will work closely with leadership to make sure cash flow is tracked, risks are managed, and nothing slips through the cracks. This is a full-time, in-office or hybrid role based in DUMBO, Brooklyn. What You’ll Do Receivables and credit management • Track outstanding receivables across wholesale and partners, • Help manage credit risk across accounts and flag potential issues early, • Support collections efforts on past due invoices when needed, • Maintain clear visibility into who owes what and when, • Work with sales and operations to resolve discrepancies Banking and financial operations • Manage day-to-day banking activity including payments, transfers, and account tracking, • Coordinate with banks on account setup, changes, and ongoing needs, • Help monitor cash position and ensure smooth movement of funds, • Support basic reconciliation and financial organization Insurance, risk, and legal administration • Manage company insurance policies, renewals, and documentation, • Coordinate with brokers to ensure coverage stays current, • Track COIs and ensure requirements are met for retail partners, • Help manage claims and ongoing policy updates, • Act as a liaison with outside counsel on contracts, filings, and ongoing matters, • Help organize and track agreements across vendors, retail, and partners Vendor setup and compliance • Support onboarding of vendors and partners including documentation and system setup, • Ensure required documents, agreements, and information are complete and up to date, • Maintain organized vendor records across systems, • Help ensure ongoing compliance with partner requirements HR support • Assist with employee onboarding and offboarding logistics, • Help maintain employee records and internal documentation, • Support basic HR processes, policies, and coordination with external providers, • Assist with benefits administration and general employee support Executive support • Assist the CEO & COO with administrative, financial, and operational tasks, • Help track priorities, follow-ups, and key initiatives, • Prepare materials, summaries, and information needed for decision making Office management and internal systems • Help manage day-to-day office operations and needs, • Maintain internal systems, tools, and shared resources, • Keep files, processes, and documentation organized across the company, • Support onboarding logistics and general office coordination What We’re Looking For • 3 to 6 years in finance ops, accounting support, legal ops, or a similar role, • Experience with receivables, invoicing, or credit management, • Comfortable managing banking activity and financial processes, • Strong Excel skills and comfort working with data and reporting, • Strong attention to detail and organization, • Experience working with contracts or legal coordination is a plus, • Experience in CPG, retail, or e-commerce is a plus What You’re Like • You are organized, proactive, and detail-oriented, • You follow through and keep things moving, • You are comfortable with numbers and working across teams Why You’ll Love Working Here At Speks, you will join a small, sharp team in a bright Brooklyn office.
