Job Description Administrative Legal Assistant – Midtown, NYC (Fully On‐Site, 5 Days/Week) Summary A Midtown, NYC law office is seeking a highly organized and detail‐oriented Administrative Legal Assistant to provide comprehensive administrative support to a team of attorneys and collaborate with multiple internal departments. This is a fast‐paced, high‐pressure environment, ideal for someone who is proactive, technologically proficient, and able to manage competing priorities with minimal supervision. Exceptional written and verbal communication skills are essential. Essential Duties & Responsibilities • Prepare letters, memos, presentations, and spreadsheets using Microsoft Word, PowerPoint, and Excel., • Conduct research on legal and financial topics using various media platforms., • Maintain and update attorney contact databases, including creating, editing, and resolving contact records., • Assist with overflow work from Administrative Assistants and departments such as Document Processing, Data Stewards, Paralegals, and Litigation Support., • Coordinate conference calls and reserve conference rooms., • Redline, revise, proofread, and draft legal correspondence, speeches, and articles with precision., • Communicate with attorneys to track availability and whereabouts., • Screen incoming calls and relay accurate messages promptly., • Open new matters and prepare conflict‐of‐interest memos., • Enter attorney time daily using 3E Time Capture., • Order lunches for attorneys as needed., • Reconcile Amex statements and car service bills, including liaising with Accounting on client/matter inquiries., • Utilize document management systems to create new files and close inactive files., • Manage incoming and outgoing mail, including sorting, prioritizing, and preparing materials for delivery., • Schedule meetings, manage calendars, and arrange travel., • Collaborate effectively with backup Administrative Assistants to ensure seamless attorney support., • Maintain positive working relationships with attorneys, staff, and clients., • Uphold strict confidentiality standards., • Perform additional administrative and clerical tasks as assigned. Knowledge, Skills & Abilities • Ability to research legal topics across multiple platforms., • High level of professionalism, discretion, and confidentiality., • Strong organizational and time‐management skills., • Excellent interpersonal, written, and verbal communication abilities., • Ability to multitask and meet tight deadlines., • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint)., • Knowledge of Adobe Acrobat Professional., • Comfort using professional technology tools and social media platforms., • Ability to remain composed under pressure., • Strong proofreading skills, including familiarity with proofreading marks., • Knowledge of Bluebooking is a plus., • Flexible, adaptable, and able to work independently or as part of a team., • Willingness to work overtime, including mornings, evenings, weekends, and holidays., • Experience with Interaction, 3E Time Capture, iManage, and iManage Records Manager is a plus., • Proactive self‐starter who anticipates needs and takes initiative., • Receptive to cross‐departmental training and able to support multiple teams., • Commitment to punctuality and reliability. Education & Experience • Bachelor’s degree or equivalent work experience., • Experience in a corporate legal environment preferred. Compensation The expected base salary range for this position is $65,000 – $70,000, depending on experience, education, and other job‐related factors.
