To learn more, visit us at gondolabio.com Who You Are We are seeking a highly skilled and experienced Executive Assistant to provide advanced administrative support to the Senior leadership and the program managers. The ideal candidate is proactive, detail-oriented, and adaptable, with a proven ability to manage competing priorities in a fast-paced environment. This role requires strong communication skills, discretion, and the ability to anticipate needs while ensuring the seamless flow of operations. The Executive Assistant will act as a trusted partner to the Senior EBP, ensuring optimal time management, effective communication, and smooth execution of executive responsibilities. Requirements: Executive Support • Manage calendars, schedule meetings, and coordinate appointments., • Arrange domestic and international travel, prepare itineraries, and process expense reports., • Prepare correspondence, presentations, reports, and other business documents., • Maintain accurate filing systems, records, and office documentation., • Support cross-functional collaboration with other teams as needed., • Provide backup support to the Senior Executive Administrator when necessary.Communication & Liaison, • Serve as the first point of contact for internal and external stakeholders., • Draft, proof, and manage executive correspondence., • Manage calendars, schedule meetings, and coordinate appointments., • Arrange domestic and international travel, prepare itineraries, and process expense reports., • Prepare correspondence, presentations, reports, and other business documents., • Maintain accurate filing systems, records, and office documentation., • Support cross-functional collaboration with other teams as needed., • Provide backup support to the Senior Executive Administrator when necessary.Communication & Liaison, • Serve as the first point of contact for internal and external stakeholders., • Draft, proof, and manage executive correspondence., • Ensure timely responses and follow-ups on behalf of the leadership team., • Plan and coordinate logistics for meetings, conferences, and company events., • Prepare agendas, materials, and presentations for executive meetings., • Assist with event planning, vendor coordination, and onsite execution.Cross-Functional & Operational Support, • Partner effectively with other Executive Assistants across GondolaBio and the BridgeBio ecosystem., • Support special projects and strategic initiatives as needed., • Provide operational assistance to ensure efficient daily workflows. Recruiting & Onboarding Support • Coordinate interview scheduling, candidate communications, and recruiting tracking in partnership with HR/recruiting., • Support new hire onboarding by scheduling orientations, preparing materials, and coordinating with relevant departments., • Ensure a smooth candidate and employee experience from recruitment through onboarding. Education, Experience & Skills Requirements Education & Experience • Bachelor’s degree or equivalent experience is preferred., • Minimum of 3–5 years of experience in an administrative or executive support of VP and above level role. Skills & Competencies • Strong organizational and time-management skills with attention to detail., • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). The actual compensation offered will be determined based on a number of job-related factors, including experience, skills, qualifications, and location. A bonus plan and equity will also be offered.
