Department: Auto Direct and Global Sales Development Job Status: Full Time FLSA Status: Exempt Reports To: Director Grade/Level: Amount of Travel Required: On occasion Job Type: Regular Positions Supervised: None Work Schedule: 8:00 – 5:00 Date: 10/1/2025 The Sales Administrator is responsible for driving sales effectiveness through the development, maintenance, and optimization of key sales operations processes. This role requires an individual with strong sales operations and analytical skills who works collaboratively with the sales team to create and implement strategies that maximize revenue opportunities. Sales Administrator Duties and Responsibilities • Develop, maintain, and optimize sales operations processes, such as sample order management, , and lead management., • Analyze sales data to identify trends and opportunities and create reports to track progress and performance., • Collaborate with the sales team to understand their operational needs and help achieve their goals., • Utilize CRM to develop and maintain accurate customer and sales records., • Contribute to the development of strategies and tactics to maximize sales effectiveness and efficiency., • Provide training and support to personnel on the operations processes., • Sales Support, • Sample Requests and Shipments, • Receive and distribute samples from overseas (OS, PMD, Distribution)., • Process sample requests (paid and unpaid) from various sources and follow up on timely delivery., • Process SIPS, • Maintain accurate records of sample inventory., • Register new part numbers and process IPOAs, • Maintain sample books for selected products., • Process special project shipments (customer confidential parts) and prepare export documents., • Process web inquiries, gather basic information, track leads in CRM, and coordinate communication with product experts., • Support communication with Environmental and CSR teams in Japan., • Analyze and prepare data for Rep reviews., • Support the review of monthly commission files., • Process and track EOL notifications and PCN, • Handle non-moved inventory to clear stock, • Sales Operations, • Offshore Sales, • Collaborate with the TDK Japan CP team to resolve offshore claim issues., • Collaborate with OS and Rep OS, track offshore sales, and create and process respective claims., • Track offshore claims vs sales results for defined accounts., • Utilize the offshore claims system effectively., • Train other team members on system usage., • Split Requests, • Prepare data for split requests (on- and offshore) and propose changes when needed throughout the term., • Communicate with Reps to process split requests., • Collaborate with CP to make necessary corrections and adjustments., • Office Management, • Administrative Tasks, • Maintain office supplies stock and place orders when needed., • Participate in committee meetings with other TDK entities and support event organizations (office events, community events), • Process company internal mail and shipments between office locations., • Collaborate with property management., • Collect contributions, and arrange gifts for special occasions (e.g., weddings, baby showers, and farewells)., • IT Support, • Support the TCA IT team with office-specific tasks and act as a liaison for the IT teams at TCA and other TDK entities., • Help coordinate IT activities for system updates and upgrades., • Expat and Visitor Support, • Support Japanese expats and their families (housing, car rentals, SSA, DMV, schooling, doctor appointments, etc.), • Support executives and other visitors (transportation, accommodation, meeting arrangements, lunches and dinners, and visitor badges and building access), • Team Collaboration, • Be an equal member of the sales team., • Report on customer activity and sales-related issues., • Foster teamwork and effective communication.
