Receives and has custody of all funds of the fire district; Deposits all incoming funds in the manner prescribed by New York State law; Disburses funds for the purposes authorized by the Board of Fire Commissioners; Facilitate the annual external audit in accordance with Town Law; Prepare employee payroll, including withholding and necessary reporting; Regular reporting to the NYS Local Retirement System; Prepare IRS forms: W-2, and W-3 for employees, and 1099 for appropriate vendors; Make appropriate journal entries to the general ledger regularly; Keeps fire district accounts and all substantiating records and materials, such as receipts, orders, vouchers, canceled checks, etc.; Manage the district’s fund balance; Annual budget preparation; Ensure sufficient operating funds are available at all times; Prepare claims and vouchers for audit and approval by the Board of Fire Commissioners; Present monthly financial report to the Board of Fire Commissioners, including budget over and under; Submit annual financial statement to the NYS Comptroller’s Office; Presents total accounting of monies received and disbursed to the Board of Fire Commissioners to reconcile; bank statements monthly and at any other time the Board may prescribe; Attend monthly Commissioner meetings, attendance at additional meetings throughout the year is also required; Additional duties are performed at the direction of the Board of Fire Commissioners.
