Job title: Operations & executive assistant Company: The Glaser Group – Costa del Sol Location: Málaga / Costa del Sol (Hybrid or office-based) Employment type: Full-time About the role The Glaser Group is an established international firm with five years of experience specializing in both real estate sales and holiday rentals across the Costa del Sol. We are currently in an exciting phase of expansion and are looking for a versatile operations, admin & executive assistant to join our team. In this role, you will work directly with the founder and operations manager to turn high-level goals into organized reality. Key responsibilities Executive support & daily administration Administrative oversight: Lead comprehensive office admin duties, including document formatting, digital filing, and ensuring all company records are up to date. Calendar & priority management: Keep the leadership team on track by managing schedules and ensuring high-priority tasks are completed. Communication: Serve as the first point of contact for professional correspondence in both English and Spanish. Financial admin: Handle basic expense tracking, invoicing, and administrative reporting to support the company’s financial health. Optimizing & structuring workflows Process refinement: Help us transition to a more "scaled" operation by designing and documenting internal processes that prevent errors and improve efficiency. CRM & task tracking: Take ownership of our CRM data and ensure the team follows up on leads and deadlines consistently. Team coordination: Act as the central hub and admin link between our agents, the rental department, and external partners. Sales & rental assistance Listing & rental admin: Support the business by preparing documentation and ensuring compliance for both property listings and holiday rental units. Logistics & coordination: Manage the logistics of viewings, check-ins, and client follow-ups to ensure a premium experience across all services. What we are looking for Languages: Bilingual fluency in English and Spanish is essential. Mindset: You are proactive and detail-oriented. You see a process gap and create a system to fix it. Experience: Proven experience in administration or operations, ideally within an international environment. Technical skills: Proficiency in Google Workspace and CRM systems ; you should be comfortable managing and optimizing digital tools.
