We are looking for a highly organised and proactive Office based Operations Administrative Assistant to join our team. This is a varied and fast-paced role where you’ll play a key part in keeping our day-to-day operations running smoothly while supporting both clients and internal teams. What You’ll Be Doing: • Managing the daily maintenance task system, • Coordinating with suppliers, organising jobs, and reviewing quotes, • Processing invoices, quotes, and general administrative paperwork, • Handling insurance claims from start to finish, • Liaising with utility providers, communities, town halls, and service companies (Wi-Fi, alarms, etc.), • Managing online payments (water, electricity, etc.) and setting up direct debits, • Overseeing email communications, including shared inboxes, • Acting as a key point of contact for property owners and guests, • Providing cover for colleagues during annual leave, • Support reception and assist with incoming calls when required Working Hours & Benefits • 40 hours per week (Monday to Friday, occasional weekend work during summer months maybe required), • Flexible working hours What We’re Looking For Fluent in English and Spanish (written and spoken) Full driving licence (essential)
