What is it like to be an Office Manager at DHV Technology? As an Office Manager at DHV Technology, you will play a key role in ensuring the smooth day to day operation of our headquarters while providing direct support to the Management team. As the first point of contact for visitors, customers, and suppliers, you will help create a professional and welcoming environment while coordinating administrative activities, meetings, events, and office services that contribute to the efficiency of the organization. Responsibilities As an Office Manager at DHV Technology, your main responsibilities will include: Executive Support: Provide administrative support to the Management team, coordinating agendas, meetings, documentation, and day to day administrative activities. Reception & Visitor Management: Welcome visitors, customers, and suppliers, managing reception activities and ensuring an outstanding experience. Office & Facilities Coordination: Oversee the daily operation of the office, ensuring facilities, office supplies, common areas, and workplace services are properly managed, including the coordination and reception of facility related providers such as catering, coffee, water, vending, cleaning, courier, and other office support services. Meetings & Events: Organize internal meetings, customer visits, catering services, and corporate events, coordinating all related logistics. Internal Coordination: Act as a key point of contact between departments, facilitating day to day communication and supporting the coordination of administrative and operational activities across the organization. Workplace Experience: Ensure a professional, organized, and welcoming office environment that reflects DHV Technologys standards and enhances the experience of employees, customers, and visitors. Continuous Improvement: Identify opportunities to optimize administrative processes and contribute to an efficient, organized, and professional workplace. Education and Requirements To be considered for this position, the following qualifications are required: A Bachelors degree in Business Administration, Office Management, Tourism, Languages, Communications, or a related discipline is desirable. At least 2 years of professional experience in an Office Manager, Executive Assistant, Reception, or similar administrative support role. Previous experience supporting senior management in an international environment is highly valued. Fluent level of English, both written and spoken. Additional languages are considered an asset. Technical Competencies Candidates should demonstrate strong knowledge in the following areas: Office Administration: Experience coordinating office operations, facilities, and administrative processes. Executive Support: Ability to manage calendars, meetings, visitors, and corporate events with a high level of professionalism. Microsoft Office: Proficiency in Microsoft Office 365, particularly Outlook, Excel, Word, and PowerPoint. Organization & Coordination: Experience coordinating external service providers, workplace services, and office logistics.
