THE ROLE This is an exciting opportunity to join the team at Podium Analytics, a charity that is delivering tangible impact in the world of sport. You will be joining at a critical time, during the next stage of its development, when you will play an important role in shaping the organisation as well as develop your skills and experience. Reporting to the Finance & Business Operations Director, the Business Operations Manager will have a varied role and will be responsible for the management of the Podium Analytics office and Business Administration. The role will report directly to the Finance and Business Operations Director and will work closely and collaboratively with the CEO and wider team, key external stakeholders, partners and suppliers. The role requires a professional with similar experience within a commercial or not-for-profit organisation. The role is very hand-on and requires a strong ‘can-do’ attitude, flexibility and proactivity. RESPONSIBILITIES This role will be responsible for: Office Management - Ensuring the office environment is maintained to the highest standard, liaising with Mayfair Estates (Landlord) and managing appointed suppliers - Ensuring that an excellent level of service is provided to external clients, internal staff and the Board - Ensuring all statutory operational requirements e.g. health & safety, fire safety and other related procedures are up to date and communicated to staff - Managing the maintenance of office supplies and equipment - Manage incoming and outgoing deliveries - Meeting planning and communication with senior stakeholders and board members - Travel, logistics planning and itinerary management Business Operations - Overseeing all business operations activities and providing efficient administration support to the Podium Analytics team - Maintenance of the company intranet, including policy maintenance - Organisation, scheduling and communication of team events, briefings and meeting room management - Act as the secretariat in support of the Director of Research for the Podium Expert Advisory Board. - Organisation, scheduling and communication of key board committee and advisory group meetings - Manage office subscriptions (journals, research, etc) Human Resources Operations - Provide operational HR support to the Finance & Business Operations Director - Support and liaise with the external HR consultant - Co-ordination and support of recruitment processes and maintenance of recruitment records - Management of the onboarding process for new staff and maintenance of associated documentation - Process all new starter and leaver administration - Preparation and maintenance of HR policies, processes and guidelines - Support the implementation and delivery of the equality, diversity and inclusion strategy - Management of the company performance management system and quarterly review processes - Management of the company learning management system, including the scheduling of training and development Finance - Assist Finance and Business Operations Director with the preparation of monthly management accounts - Process invoices, payments and expenses accurately and on time - Support the year-end close - Assist with budgeting and forecasting activities THE CANDIDATE The role is very hands-on and the right candidate will thrive off working in an entrepreneurial, growing team and will be excited by the opportunity to pave the way and do things differently. The role will require a can-do, creative attitude to getting work done, the ability to multi-task, prioritise and time plan effectively, and the intuitive understanding of what it takes to deliver against a broad programme of activity. As an important interface with both internal and external stakeholders, the ability to build effective relationships will be key. Excellent planning, high attention to detail and a focus on high standards of delivery are all essential. You must be able to react quickly to changing circumstances, both using your initiative and taking direction as required. What we are looking for - Proven experience in business operations, project management, or a similar role (3–5 years minimum) - Experience as a finance assistant is desirable. - Excellent verbal and written communication skills to effectively collaborate with team members and stakeholders. - Strong numerical and analytical skills - Ability to work independently and as part of a team. - Excellent time management skills and an ability to work under pressure and meet deadlines. - Meticulous attention to detail and problem-solving skills with a well-organised approach to working. - Computer literate, including Microsoft Office suite. Requirements: − Send renewal invitation to tenants from the 3 months to contract expiration date and at the last 45 days before contract end date, call tenants or re-sending frequent reminders during this time, weekly and daily towards the end of tenancy. − Negotiate with tenants regarding the rent and length and prepare the renewal contracts, send via Docusign. − Update the tenancy on the system according to the renewal information for purpose of other departments. − Prepare the section 21 notice and other notice documents and send to tenants by the required method − Renewal Rent increases will require tenant finance checks again to ensure tenant details are still correct and confirmation of new room prices within the remit of the renewal process bracket and within the overall room pricing. − Check client’s correspondence and confirm what clients wish not to continue and wish to renew, volume is dependent on the season. − Check historic and current payment be behaviour of tenants to ascertain if they are good renewal candidates. − Checking the customer service email, respond to most urgent tenant complaints giving a response time frame and what department will be getting back to them. − Inform correct department and person of the issues reported − Classify complaints and issues reported and follow up and present the results to Finance department management, on a monthly basis. − Carry on following Right to Rent checks − Liaise with accounts, property management, admin and when relevant Sales Director and Sales Manager.
