Job Description Position Title: Administrative Associate Status: Non-Exempt, Part-Time to Full-Time (16–27 hours per week) Work Location: Hybrid (primarily remote with occasional on-site work as needed) Reports To: Founder Role Overview The Administrative Associate is a trusted, detail-oriented position responsible for maintaining the accuracy, organization, and integrity of the school’s administrative, financial, and communication systems. This role supports tuition billing, compliance recordkeeping, kitchen and regulatory documentation, system access tracking, and Founder-directed communications. This position works closely with the Founder and supports multiple departments; however, work direction, prioritization, and final approval are provided exclusively by the Founder. Because this role works with sensitive family, financial, and organizational information, it requires the highest levels of confidentiality, discretion, and personal integrity. Core Responsibilities Billing & Tuition Administration • Prepare and issue tuition invoices for private-pay families, • Prepare, submit, and track invoices for public funding programs, including DCYF, • Ensure billing aligns with enrollment, attendance, and program requirements, • Track invoice status, documentation, and deadlines, • Maintain organized digital records for kitchen operations, kitchen regulators, and compliance, • Support documentation tracking for food production, inventory, and audits, • Enter, upload, and reconcile documentation provided by the Kitchen Manager and other staff, • Maintain records of school technology, system access, and assigned equipment, • Track issued devices such as computers, tablets, and phones Founder Communications & Reporting • Format and send Founder-approved communications to families and the school community, • Proofread and present communications clearly, accurately, and professionally, • Compile and organize reports from Directors and Consultants for Founder review The Administrative Associate: • Does not make enrollment or admissions decisions, • Does not set tuition, budgets, or financial policy, • Does not supervise staff, • Does not approve payroll, timecards, or budgets, • Experience in office administration, billing, records, or systems support, • Strong attention to detail and accuracy, • Excellent written communication and proofreading skills, • Comfort working with digital platforms, documents, and databases, • High level of integrity and professional boundaries, • Ability to manage deadlines and sensitive information responsibly, • Ability to work in both non-sectarian (Our Beginning School) and Christian (Moai School) environments, • Must have a dependable and reliable attendance record (required) Education • Associate’s degree in Business, Accounting, Office Administration, Early Childhood Education, or a related field (required), • 16–24 hours per week, • Hybrid (primarily remote with occasional on-site work as needed), • Must be available during core business hours, • $28.00 – $31.50 per hour
