The Assistant Directors, as members of the management team in the Office of Facilities Planning, Construction, and Management (FPCM), play a vital role in the successful implementation of this program. The Assistant Director (AD) has primary responsibility for the development and implementation of capitally funded construction projects including the design and construction of new buildings, renovation projects, infrastructure projects, energy performance projects, repair projects, and capital maintenance projects at CUNY campuses. Exercising independent initiative and judgment and working under the general direction of the Executive Director, the AD has wide latitude in the implementation of his/her assigned capital programs. The AD works collaboratively with numerous stakeholders including college, university, governmental, and regulatory agency representatives, as well as consultant and construction teams, to successfully manage the projects to provide quality facilities, on time and on budget, that serve CUNY students, faculty, and staff. Office Liaison Responsibilities Procurement & Order Management: Monitor the internal ordering email and manage procurement processes. Manage all material and supply orders for ongoing projects. Update and maintain the client expense report for projects. Act as a liaison between the office, project managers, and subcontractors for procurement-related matters. Ensure timely delivery of materials to job sites by overseeing procurement and delivery schedules. Track all purchases and deliveries, manage delivery schedules, and upload tracking information to client folders. Prioritize tasks effectively for multiple ongoing projects. Project Documentation & Communication: Assist in maintaining and updating project documentation on BuilderTrend (our project software). Upload all purchases and relevant project files to designated client folders and keep an open line of communication with all clients. Manage the printing and pickup of plans, permits, and other project-related documents. DOB (Department of Buildings) Approvals: Assist with preparing and submitting applications for DOB approvals. Coordinate with our expeditor, Head of Office, and architect to meet building and permit requirements. Request and track the status of permits and approvals, working closely with the Head of Office to ensure timely processing. Client & Vendor Communication: Maintain a positive, professional attitude when interacting with vendors and clients, ensuring clear and effective communication. Administrative Support: Provide administrative support to the Head of Office, managing schedules and communications as needed. Upload, organize, and maintain project files to ensure accuracy and completeness. Compliance & Reporting: Ensure that all project documents, permits, and records are properly filed and updated. Monitor compliance with OSHA, DOB, and other industry regulations. Assist with generating accounting reports for internal use and client records. Office Management: Occasionally assist with coordinating office-wide in-person meetings. Qualifications: Proven experience in an administrative or office management role, preferably within the construction or remodeling industry. Strong organizational skills and attention to detail. Excellent communication and interpersonal skills. Ability to manage multiple tasks and prioritize efficiently. Proficiency in project management software, ideally BuilderTrend. Familiarity with DOB permits and approvals (preferred). Basic understanding of OSHA regulations and industry compliance standards (preferred). Jack or Jane of all trades.
