Job Description The Executive Assistant to the CEO will serve as a key organizational partner to the Chief Executive Officer, helping manage the CEO’s schedule, priorities, meetings, communications, follow-ups, and day-to-day executive workflow. This is not a traditional administrative role. The successful candidate must be comfortable working in a fast-moving entrepreneurial environment with multiple business entities, executives, consultants, artists, partners, vendors, and outside stakeholders. The Executive Assistant will help ensure that the CEO’s time is used effectively, meetings are properly coordinated, important matters are followed through to completion, and communication between the CEO and internal leadership remains organized and efficient. Key Responsibilities • Manage the CEO’s complex calendar, appointments, meetings, calls, travel, and scheduling priorities., • Coordinate meetings across Ruff Ryders leadership, business entities, consultants, artists, partners, attorneys, accountants, vendors, and outside stakeholders., • Schedule and organize recurring entity-lead meetings, executive meetings, finance meetings, strategy sessions, and other leadership meetings., • Ensure the CEO is properly briefed and prepared for meetings, calls, interviews, events, and business discussions., • Prepare meeting agendas, briefing documents, notes, presentations, reports, and supporting materials., • Attend selected meetings, capture detailed notes, identify decisions and action items, and track follow-up through completion., • Maintain a centralized executive task and follow-up system to ensure commitments, deadlines, approvals, and deliverables are not missed., • Follow up with executives, consultants, department leads, and outside partners on behalf of the CEO., • Monitor priority emails and communications and help identify matters requiring immediate CEO attention., • Draft, proofread, and organize executive correspondence, emails, letters, memos, meeting materials, and other communications., • Coordinate document reviews, signatures, contracts, approvals, invoices, and other executive administrative matters., • Maintain organized electronic records of executive communications, contracts, reports, meeting notes, and confidential documents., • Coordinate domestic and international travel, including flights, hotels, transportation, itineraries, and event schedules when required., • Assist with major company events, appearances, business meetings, launches, artist-related activities, and special projects., • Communicate professionally with high-profile talent, executives, attorneys, investors, business partners, and other external stakeholders., • Maintain strict confidentiality regarding business, financial, legal, personnel, artist, and executive matters., • Help the CEO prioritize competing demands and ensure important matters receive timely attention., • Provide administrative and project support across Ruff Ryders entities as directed by the CEO. Executive Meeting & Follow-Up Responsibilities The Executive Assistant will play an important role in maintaining accountability across leadership. Responsibilities include: • Scheduling recurring meetings with entity leads and senior leadership., • Confirming agendas and required materials in advance., • Tracking decisions, assignments, deadlines, and deliverables., • Following up with responsible parties before deadlines., • Maintaining an executive-level action-item tracker., • Alerting the CEO when important deliverables are late or unresolved., • Ensuring meeting outcomes are documented and communicated appropriately.
