Property Lettings & Tenant Relations Executive Part Time Salary: Competitive, based on experience Languages: Fluent in English; Spanish About the Role We are seeking a proactive and organized Property Lettings & Tenant Relations Executive to join our growing team. This role is pivotal in ensuring our properties are tenanted efficiently. You will be responsible for identifying and securing high-quality tenants, minimizing vacancy rates, managing renewals, and maintaining strong tenant relationships — all while adhering to company policies and optimizing rental income. Key Responsibilities You will identify and secure the best long- and short-term tenants at optimal rent and terms while ensuring full compliance with company rental policies. A key part of your role will be minimizing vacancy periods and maintaining a 1% annual void rate. You will market properties effectively across multiple platforms locally, nationally, and internationally, and coordinate tenant renewals while preparing marketing campaigns six weeks prior to contract expirations. You will also handle all aspects of tenant relations, including conducting comprehensive handovers with inventory checks and sign-offs, discussing and planning renewal or contract expiry terms, maintaining quarterly communication with tenants, and conducting regular property inspections to ensure quality standards are met. Administrative responsibilities will include updating tenancy schedules on a weekly basis and reporting progress to management, ensuring that deposits are paid, confirmed, and processed correctly, and maintaining accurate records of income and expenses using Excel. You will also liaise with builders, cleaners, accountants, and lawyers to ensure efficient property and portfolio management. From a strategic perspective, you will be expected to build and maintain a local database of businesses and potential tenants to help grow the company’s portfolio. You will provide bi-daily updates on your activities and actionable next steps, while also suggesting process improvements to enhance efficiency, achieve cost savings, and support portfolio growth. Requirements The ideal candidate will have excellent organizational and communication skills, with a keen eye for detail and the ability to prioritize tasks effectively. Proficiency in Excel and general IT tools is essential. You must be fluent in English, and Spanish. Flexibility is important, as the role requires conducting property viewings during mornings, evenings, or weekends depending on tenant availability.
