The Role At Matrix, we are looking for an Assistant Office Manager to support the efficient daily operations of our Madrid office on a temporary basis to cover a maternity leave. Reporting directly to the Office Manager, this role will ensure a welcoming and well-organized environment for employees and visitors while assisting in the implementation of office policies, procedures, and services. Key activities and responsibilities: • Support in the management of everyday office duties including the reception, • Oversee visitors to the office and ensure a friendly, personal experience, • Ensure peak operations for the organization and implement preventive measures for potential issues, • Assist in the implementation of policies and procedures, measure outcomes against standards, and improve operational flow, • Coordinate internal and external resources, and cultivate relationships with vendors, • Respond to requests and questions about office operations, • Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment, • Oversee day-to-day office activities as main point of contact in the reception area, and keep management informed regularly via performance reports, • Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and shipping packages; and updating contacts database and employee lists, • Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries when requested, • Ensure onboarding process for new employees General Skills / Attributes: • Bachelor’s degree or equivalent, • One or more years of experience in office management, • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability, • Proficiency with office applications, and aptitude for learning new software and systems, • Ability to maintain confidentiality of company information, • Experience in developing internal systems, • Advanced computer skills and experience with online platforms, • Fluent in English and Spanish If you are interested in applying, committed to a fulfilling, inclusive and non-discriminatory working environment in which all individuals are treated as individuals, with respect and dignity and are given opportunities to develop their careers and contribute to both the Company´s and their own success. Resolver incidencias durante el desarrollo de los trabajos. Requisitos: Experiencia en gestión o coordinación de personal en el sector eventos (montaje, producción o técnico/a de escenario). Conocimientos prácticos del entorno de montaje: estructuras, iluminación, sonido, etc. Experiencia en producción técnica, logística o montaje de escenarios. Capacidad para liderar y motivar equipos. Disponibilidad completa. Ofrecemos: Incorporación a un equipo profesional y dinámico en una empresa referente del sector. Trabajo en eventos de gran envergadura a nivel nacional e internacional. Jornada completa (40 horas semanales) + Guardias Contrato indefinido, salario ajustado al nivel de experiencia en el sector contando la aplicación de remuneración por guardias. La persona seleccionada trabajará en la fabricación y preparación de piezas de carpintería en madera, cumpliendo con los estándares de calidad y seguridad establecidos. Además del trabajo habitual en taller, existe la posibilidad (Valorable, no obligatorio) de participar puntualmente en montajes de stands de madera para ferias, congresos y exposiciones. Estos montajes pueden requerir disponibilidad ocasional durante fines de semana. Requisitos Experiencia demostrable como Carpintero Oficial de Primera. Dominio de máquinas y herramientas industriales de carpintería (seccionadora, regrueso, tupí, escuadradora, CNC -si aplica-, lijadoras, etc.). Capacidad para interpretar planos y realizar trabajos precisos. Disponibilidad horaria completa. Valorable: experiencia en montaje de stands o trabajos fuera de taller.
