Reporting to the Logistics and Transport Manager, the Warehouse Coordinator will be responsible for overseeing the day-to-day warehouse operations managed by the external logistics provider (3PL), ensuring service excellence, inventory accuracy, operational efficiency, and continuous process improvement. This position will be based mainly in our Warehouse located in Illescas (Toledo), and the headquarters office in Madrid. Important note: This is an on-site position with no remote working option MAIN DUTIES: Reporting to the Logistics and Transport Manager, this role encompasses following tasks: Supervision of 3PL Warehouse Operations • Oversee inbound, put-away, storage, order preparation, outbound, and returns operations performed by the 3PL provider., • Ensure business operational priorities are clearly communicated and properly executed by the logistics partner., • Validate the correct execution of warehouse operational and administrative procedures., • Ensure operations are carried out in line with the defined quality, productivity, and service standards., • Coordinate special handling requirements, labelling, rework, and specific order preparation needs., • Monitor the correct execution of customer return processes., • Escalate operational incidents and coordinate their timely resolution., • Participate in regular review meetings with the logistics provider to assess performance, incidents, and action plans., • Coordinate corrective actions with the 3PL and the relevant internal stakeholders., • Conduct root cause analysis of recurring issues and propose preventive measures. Consumables Inventory Control and Accuracy • Monitor inventory accuracy and drive actions to minimise stock discrepancies., • Coordinate and supervise cycle counts and physical inventories with the logistics provider., • Analyse inventory discrepancies, identify root causes, and define corrective actions., • Manage the procurement of warehouse consumables from suppliers. Continuous Improvement • Identify opportunities to optimise warehouse logistics and administrative processes., • Lead or participate in continuous improvement projects together with the 3PL and internal teams., • Propose improvements in layout, operational flows, procedures, control tools, and systems., • Promote initiatives aimed at reducing errors, improving response times, and increasing productivity., • Support the implementation of new processes, references, campaigns, or operational changes. Administrative Management and Cross-Functional Coordination • Verify the correct allocation and validation of services invoiced by the 3PL, as well as their proper registration in the system., • Work closely with Customer Service, Transport, Purchasing, Planning, Production, Quality, Finance, and Commercial teams., • Review compliance with the operational conditions agreed with the logistics provider., • Support the update of procedures, work instructions, and operational documentation. PROFILE: Technical Competencies • Solid knowledge of warehouse operations and end-to-end logistics processes, including inbound, storage, order preparation (B2B & B2C), outbound, and inventory management., • Experience managing outsourced warehouse operations and working with Third-Party Logistics (3PL) providers., • Proficiency in ERP systems (e.g. SAP), WMS, MS Office, and reporting tools., • Strong understanding of stock control, traceability, incident management, and logistics documentation., • Knowledge of continuous improvement and operational optimisation methodologies (e.g. Lean) is a plus., • Familiarity with technical regulations related to logistics, including import/export and customs requirements, is valued., • Experience in multi-client environments (retail, FMCG, industrial, or e-commerce) is a plus., • Knowledge of dangerous goods handling/shipping (CAT1 – IATA) is a plus., • Good level of English for coordination with suppliers or international teams is desirable.
