Based in Palma de Mallorca, CeraShield undertakes projects globally. Job Summary We are seeking a proactive, highly organised Administrative Assistant – Project Support to provide vital support to the General Manager and Project Manager. This role is central to the smooth execution of projects, supporting administrative processes, logistics coordination, resource scheduling, documentation, and data management within Microsoft Dynamics. • Full-time position, • Office-based at STP, Palma de Mallorca, • Occasional support for remote and global projects may be required Key Responsibilities Project Administration • Create and manage work orders for projects, • Maintain accurate project data in Microsoft Dynamics, • Track project materials and documentation, • Create work acceptance documentation for the General Manager or Sales Manager to issue to clients Field Services & Resource Coordination • Book and schedule Field Services resources, • Assist with yard access for polishing technicians, • Track polishing technician equipment, • Arrange servicing of all polishing technician equipment prior to expiration Project Logistics & Travel • Organise project logistics including flights, car hire, and accommodation, • Prepare and distribute project kits including PPE, gloss readers, materials, and products, • Organise couriers and track shipments Financial, Inventory & Systems Support • Manage project expenses and invoices in Microsoft Dynamics, • Track product inventory levels and support stock control HR & Training Support • Support HR and General Manager in tracking and organising required courses and certifications before expiration Office Administration • Manage inventory and ordering of office supplies Requirements • Experience in business administration or a related field, • Previous experience in an administrative or support role, • Strong organisational and time management skills, • High attention to detail with a proactive problem-solving mindset, • Advanced knowledge of Microsoft Office Suite and familiarity with Microsoft Dynamics, • Fluency in English and Spanish, both written and spoken, • Ability to work under pressure in a dynamic, project-based environment, • Flexible and adaptable approach suited to a growing company What We Offer • Continuous training and mentoring, • A supportive, international team environment, • Salary based on experience, • Medical insurance How to Apply If you are interested in joining our team and meet the requirements, please send your CV and cover letter to .
