As a Project Administrator, you will be working closely with Project Controllers and Project Managers on several aspects of projects including purchasing, invoicing, logistics, project procedure compliance and document control for the Engineering Services division (ES). The ideal candidate will be well organized, self-motivated, and customer focused. As an Project Administrator, a typical day might include the following: • Creating and maintaining project files and project tracking records such as time reporting, financial records, schedules, budgets and summary spreadsheets., • Reviewing project proposals for accuracy and adherence to style guidelines., • Administering the flow of project documents between internal and external stakeholders and ensuring the proper documentation (corporates, health & safety, accounting, etc.) is upload for project and qualification document compliance requests., • Generating the invoices of the division supporting Project Controllers/Project Managers and reconciling project expenses and receipts., • Entering and tracking orders, managing logistics and monitoring past due accounts and the project close out processes., • Tracking and reporting project measures such as project expenditures vs. budget, progress vs. schedule, and quality related measures., • Assisting with quality supplier registrations and working with the vetting and quality departments within the company., • Ordering supplies for the division, coordinate internal and customer meetings, and provide administrative/office support as needed. This job might be for you if: • You have 2 years administrative vocational training or equivalent experience., • You have strong computer, telephone, proofreading and filing skills (including Microsoft Office)., • You have strong writing, documentation, and speaking skills in Spanish and English., • You have experience or you have worked with project management teams in engineering sectors., • You prioritize customer service, creative problem-solving, and working in a team environment.
