The Maintenance Administration Officer is responsible for providing administrative support to the maintenance department. This includes coordinating maintenance schedules, tracking work orders, maintaining records, managing inventories of tools and spare parts, and facilitating communication between departments to ensure smooth operations.
· Maintain accurate records of maintenance schedules, work orders, and completed tasks.
· Create and manage preventive maintenance calendars.
· Support the maintenance team with procurement of tools, equipment, and materials.
· Maintain inventory control of spare parts and supplies.
· Track maintenance requests and prioritize according to urgency.
· Prepare maintenance reports, logs, and performance metrics for management.
· Coordinate with vendors and contractors for outsourced services.
· Ensure all safety and compliance documentation is up to date.
· Process invoices, purchase orders, and other administrative documents.
· Provide general administrative support to the maintenance department, including filing, scheduling meetings, and taking minutes.

Key Responsibilities • Guest Assistance: Handle guest inquiries, reservations, and provide recommendations for activities, dining, and entertainment., • Information Relay: Communicate important updates and information to guests promptly and accurately., • Coordination & Liaison: Work with department heads and external vendors to ensure seamless fulfillment of guest requests., • Communication Management: Use communication tools effectively to track and respond to guest inquiries, requests, and feedback., • Service Knowledge: Continuously expand knowledge of hotel services, facilities, and offerings to provide exceptional guest experiences. Qualifications & Experience • Previous experience in concierge services, front office, or guest relations in luxury hospitality., • Proficiency in using computer systems, reservation software, and other relevant technology., • Excellent communication, interpersonal, and problem-solving skills., • Strong knowledge of local attractions, dining, and entertainment options., • Professional, guest-focused demeanor with attention to detail., • Ability to work flexible hours, including weekends and holidays.
