About the job: The Front Desk Officer is a dual-function role designed to provide seamless operational continuity during a maternity leave period. This position serves as the vital link between campus-facing hospitality and the high-precision environment of Academic Records & Certificates. The incumbent is responsible for upholding service levels, ensuring the integrity of academic documentation, and maintaining the professional reputation of the institution through meticulous administration. I. Strategic Front Desk Operations & Campus Representation • Institutional Ambassadorship: Serve as the primary point of contact, delivering a professional and welcoming experience for students, alumni, faculty, and high-level visitors., • Communication Management: Oversee primary communication channels, including complex phone inquiries and multi-channel email correspondence, ensuring all stakeholders receive timely, accurate, and professional responses., • Academic Coordination: Act as the administrative liaison for academic staff, managing schedules, coordinating high-priority meetings, and facilitating faculty-student interactions., • Process Guidance: Provide authoritative information regarding internal academic processes, campus services, and the administrative requirements for documentation requests. II. Academic Stewardship: Records, Certificates & Compliance • Lifecycle Management of Records: Execute the end-to-end processing of critical academic documents, including official transcripts, certificates, and diplomas., • Quality Assurance & Verification: Manage formal document requests with a focus on absolute accuracy, completeness, and adherence to delivery timelines., • Data Integrity & Privacy: Maintain the highest standards of confidentiality regarding student records, ensuring full compliance with institutional policies and international data protection standards., • Interdepartmental Liaison: Collaborate closely with the Academic Records & Certificates department and wider faculty teams to resolve complex queries and audit record discrepancies., • Alumni & Special Case Management: Facilitate official document verification for alumni and manage specialized requests, ensuring historical data is handled with precision., • Operational Continuity: Proactively monitor and follow up on all pending requests to ensure zero service disruption during the transition period. Operational Environment & Collaboration • High-Volume Administration, thrive in a fast-paced environment characterized by the processing of sensitive, high-stakes documentation., • Maintain flexibility regarding campus location and working hours to align with the school’s shifting operational requirements and event calendar. About you: • Exceptional organizational competence, proven ability to manage competing priorities with sophisticated time-management skills., • Analytical precision, rigorous attention to detail, particularly in the context of data entry and document verification., • Mastery of Microsoft Excel is essential for the systematic management of institutional data., • Sophisticated written and verbal communication skills; English proficiency is mandatory for this international environment., • A demonstrated ability to manage sensitive, confidential information with the utmost professional integrity., • Prior experience in academic administration, registrar services, or corporate front-of-house management is highly advantageous., • Bachelor’s degree in Business, Hospitality & Tourism , Marketing, or a related discipline is preferred.
