About the Role

We are looking for a highly organised, reliable and proactive Personal Assistant / Business Support Assistant to provide direct support to the business owner and assist with the day-to-day running of our procurement business.
The role will be primarily home-based, with some time required at our office in NW3 7TT. The successful candidate will need to be comfortable working independently, managing priorities and dealing with a variety of tasks across both personal and business matters.
This is a varied role for someone who enjoys being organised, taking responsibility and making sure things get done.

Key Responsibilities

Personal Assistant Support

  • Manage and organise the business owner's diary, appointments and commitments.
  • Help prioritise daily and weekly tasks.
  • Arrange meetings, calls and appointments.
  • Prepare reminders and follow-ups.
  • Assist with personal administration and occasional personal errands where required.
  • Help keep paperwork, correspondence and important information organised.
  • Manage confidential information with complete discretion.

Business Administration

  • Assist with general administration for the procurement business.
  • Draft, format and send emails and correspondence.
  • Follow up with suppliers, customers and care homes.
  • Maintain accurate records and update spreadsheets and databases.
  • Organise documents, contracts, applications and supplier information.
  • Help monitor outstanding actions and ensure they are followed up.
  • Assist with preparing reports, price information and other business documents.
  • Keep track of important deadlines and renewal dates.

Supplier & Customer Support

  • Communicate professionally with suppliers and customers by email and telephone.
  • Follow up outstanding issues and requests.
  • Assist with setting up new customer and supplier accounts.
  • Help obtain information, quotations and documentation.
  • Keep records of ongoing issues and actions.
  • Escalate matters to the business owner when required.

General Office Support

  • Help maintain an organised filing system.
  • Organise digital and physical documents.
  • Assist with scanning, printing and document preparation.
  • Support general office administration.
  • Help improve administrative processes and make the business more efficient.

The Ideal Candidate

We are looking for someone who is:

  • Highly organised and methodical.
  • Reliable and trustworthy.
  • Proactive rather than waiting to be told what to do.
  • Confident communicating by email and telephone.
  • Comfortable dealing with suppliers, customers and business contacts.
  • Able to manage several tasks at the same time.
  • Good at following up and making sure actions are completed.
  • Discreet and comfortable handling confidential information.
  • A good written communicator with excellent attention to detail.
  • Comfortable working independently from home.
  • Confident using Microsoft Office, Outlook, Word and Excel.
  • Able to learn new systems and processes quickly.
  • Flexible and willing to help across both personal and business administration.

Experience

Previous experience as a Personal Assistant, Executive Assistant, Business Administrator, Office Manager or similar would be beneficial.
Experience within procurement, care homes, facilities management, hospitality or a supplier/customer-facing business would be an advantage, but is not essential.
Most importantly, we are looking for someone who is organised, dependable, practical and capable of taking ownership of tasks.

Working Arrangement

The position will be 20–30 hours per week, depending on the needs of the business and the successful candidate.
The majority of the work can be completed from home, but the role will require regular attendance at the office in NW3 7TT.
The exact working days and hours can be discussed and agreed with the right candidate.
