Working directly with the Managing Director and Operations Director, you'll become the operational heartbeat of the company, taking ownership of finance, operations, customer relationships and reporting while helping us build the systems that will support our next stage of growth. This is not a role where you'll simply process paperwork. About Virtue Heating & Plumbing Virtue Heating & Plumbing delivers high-quality plumbing, heating, gas, maintenance and refurbishment services across Surrey, London and the South East. We work with homeowners, developers, commercial clients, managing agents and national contractors, and we're continuing to grow our planned maintenance and social housing portfolio. The Role You'll become the operational hub of the business, ensuring that engineers, customers, suppliers and projects all run efficiently. You'll help create the structure, discipline and reporting that allows the business to continue growing while delivering an outstanding customer experience. No two days will be the same, and you'll have genuine influence over how the business operates. Key ResponsibilitiesOperations & Planning • Coordinate engineers, subcontractors and suppliers, • Manage daily scheduling across maintenance and project works, • Ensure engineer diaries are accurately planned and maintained, • Own Simpro administration and maintain accurate operational records, • Ensure jobs are updated, progressed and closed correctly, • Support project planning, scheduling and resource allocation, • Ensure engineers have the correct information, materials and documentation before attending site, • Help drive operational efficiency across the businessFinance & Commercial, • Manage the day-to-day administration of Xero, • Raise customer invoices and applications for payment, • Process supplier invoices and purchase orders, • Assist with weekly cashflow reporting, • Manage credit control and debtor collections, • Support month-end reporting, • Monitor job and project costs against budgets, • Identify commercial risks and cost variances early, • Track, manage and support the approval of variations, ensuring all changes are accurately recorded, costed and invoicedClient & Main Contractor Relationships, • Act as a key point of contact for clients and main contractors, • Manage day-to-day communication, issue resolution and escalations, • Build strong working relationships that support repeat business, • Prepare and submit progress reports and performance updates, • Represent Virtue Heating & Plumbing at client, contractor and project review meetings, • Support long-term contract performance and customer satisfactionReporting & Business Performance This is one of the most important parts of the role. You'll own the reporting discipline within the business, ensuring management has accurate, up-to-date information to make informed decisions. Responsibilities include: • Producing weekly KPI dashboards, • Maintaining accurate Simpro reporting, • Tracking engineer utilisation and productivity, • Monitoring quotation conversion and pipeline activity, • Reporting on work in progress, • Tracking debtors and overdue accounts, • Monitoring operational performance, • Identifying trends and opportunities for improvement, • Supporting continuous improvement across systems and reportingCustomer Experience, • Manage incoming enquiries professionally, • Coordinate appointments and engineer visits, • Resolve customer issues promptly and professionally, • Deliver an outstanding customer experience from enquiry through to completion, • Manage planned maintenance reminders and customer follow-upBusiness Support, • Assist with marketing administration, • Support onboarding of new customers and future acquisitions, • Help improve systems, reporting and operational processes, • Take ownership of new initiatives that improve efficiency and customer service About You We're looking for someone who naturally takes ownership. Someone who enjoys creating order from chaos. Someone who spots problems before they become problems. You'll probably have experience within construction, plumbing, heating, electrical, facilities management or another service-led business. Experience using Xero is essential. Experience using Simpro, or another field service management system, would be a significant advantage. Experience working with main contractors, planned maintenance or social housing contracts would also be highly desirable.
