About the Role In this role, you will provide high‑level administrative and organizational support, ensuring smooth day‑to‑day operations for executive leadership. You’ll manage calendars, coordinate meetings and events, prepare communications and reports, and serve as a trusted liaison for internal and external stakeholders. This position blends executive support, project coordination, communication, and compliance-related administration. Key Responsibilities • Manage complex calendars, schedule meetings, coordinate appointments, and optimize leaders’ time., • Prepare, edit, and proofread correspondence, reports, presentations, and confidential documentation., • Maintain well‑organized electronic and physical filing systems while ensuring confidentiality., • Serve as the primary point of contact on behalf of senior leadership—professionally managing calls, emails, and inquiries., • Draft and distribute internal communications, announcements, and meeting summaries., • Coordinate cross‑departmental communication to ensure timely follow‑through and operational efficiency., • Track, organize, and maintain records required for regulatory or accreditation compliance., • Assist with audit preparation and ensure timely submission of required documentation., • Support meeting and event logistics, including agendas, materials, technology setup, and on-site coordination., • Plan and coordinate internal trainings, team events, and special functions., • Manage office supplies, equipment, and vendor relationships to support smooth office operations. What We’re Looking For • Associate’s degree required; Bachelor’s degree preferred., • 5–7 years of administrative or executive support experience, ideally in healthcare; 10+ years may substitute for degree., • Prior experience supporting senior leadership or executive-level professionals., • Excellent written and verbal communication skills., • Strong problem‑solving skills, sound judgment, and the ability to multitask effectively., • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)., • Professional demeanor with exceptional organizational skills and a strong focus on confidentiality and client service.
