Job Description Job Summary: The Outreach Coordinator/Administrative Assistant plays a key role in supporting both community engagement and internal program operations. This position is responsible for building and maintaining relationships with referral sources, increasing awareness of Achieve Beyond’s services, and supporting departments with provider and case management activities. The role combines external outreach with administrative and program support, ensuring accurate documentation, coordinated communication, and effective tracking of outreach and operational activities. Essential Duties and Responsibilities: • Uploading documentation into EMR system for providers and cases, • Complete weekly in person visits to community settings/referral sources such as pediatricians, daycares, etc., • Establish relationships with referral sources local to our varying service locations, • Conduct regular outreach phone calls and distribute informational materials to prospective partners and families, • Represent organization through presentations, workshops, community meetings, and health fairs, • Monitor site visits and track incoming referrals to assess outreach effectiveness, • Utilize databases and applications for data entry, reporting, and tracking outreach metrics, • Identify, organize and attend community events and networking opportunities, • Meet weekly goals of outreach calls and visits to referral sources, • Assistance with staffing, intake, provider relations, and internal operations procedures., • Assistance with quality assurance initiatives such as parent and provider surveys. Responsibilities: Coach Development & Training: ● Design and implement a comprehensive training program for coaches based on performance evaluations. ● Lead coach training sessions to ensure alignment with Soccer Stars and Amazing Athlete curriculum and coaching philosophy. ● Provide ongoing mentorship, feedback, and support to coaching staff at all levels. ● Conduct regular site visits to ensure class quality, provide feedback, and liaise with parents. ● Evaluate coach performance and provide structured feedback to drive improvement. ● Monitor coach performance and determine advancement for coaches alongside the promotion cycle. Program Management & Operations: ● Oversee the strategy and execution of coach hiring, training, and scheduling. ● Supervise and evaluate coaching staff to maintain and enhance program quality. ● Supervise the Coaching Coordinator to accomplish coaching department goals. ● Maintain accurate inventory and distribution of program equipment. ● Work with the Staffing Coordinator to determine staffing decisions by aligning coaches with appropriate classes and age groups. ● Act as the primary point of contact for coach-related inquiries, feedback, and development. Leadership & Community Engagement: ● Support and report to the Owner and Regional Manager, contributing to overall program success. ● Promote and uphold the Soccer Stars brand through community engagement and partnerships. ● Collaborate with the administrative team on coach performance tracking and development. ● Assist in ad-hoc projects associated with the success of the business. Requirements ● Minimum of 2+ years of soccer coaching experience. ● Minimum of 4+ years of management or supervisory experience. ● Degree in childhood education, physical education, or sport management is a plus. ● Ability to work weekends. ● Experience in preparing and delivering presentations to large groups. ● Strong leadership and mentorship skills. ● Customer service-oriented mindset. ● Exceptional organizational and communication abilities. ● Ability and willingness to travel across Long Island and Eastern Queens regularly. ● Energetic, enthusiastic, and outgoing personality.
