Job Title: Project Coordinator Job Description The Project Coordinator supports a Senior Project Manager on IT infrastructure initiatives for construction and renovation projects, including large-scale efforts such as multi-floor facility upgrades. The role begins with administrative and coordination tasks and progressively expands into learning and supporting full project processes. It is well-suited for candidates with foundational project coordination experience or those from administrative, communications, or IT backgrounds who are eager to grow in IT infrastructure project coordination. Responsibilities • Support Senior Project Managers in the coordination and delivery of large-scale IT infrastructure projects, including complex, multi-floor construction and renovation initiatives., • Coordinate and schedule project meetings, site visits, and related activities, ensuring all stakeholders receive timely invitations and updates., • Prepare, maintain, and organize project documentation, including meeting minutes, status reports, and project plans., • Manage ordering processes for equipment and materials, including procurement of equipment orders and purchase orders, and maintain accurate records of all transactions., • Track and update project schedules, milestones, and deliverables, helping to ensure projects remain on time and aligned with expectations., • Assist with basic cost analysis and support budgeting activities by tracking costs and understanding cost structures under the guidance of Senior project managers., • Act as a liaison between real estate teams and project management, facilitating clear communication and coordination across teams., • Support the planning and scheduling of site surveys with various IT teams and ensure all logistical details are in place., • Monitor and follow up on project deliverables, ensuring timely completion and escalating issues to the Senior Project Manager as needed., • Use Microsoft Excel and other Microsoft Office tools to create reports, track data, and support documentation and meeting activities., • Contribute to the creation and maintenance of project plans and project schedules, updating them as project requirements evolve., • Attend project sites across the region as required, documenting site conditions and supporting on-the-ground coordination activities. Essential Skills • 6 months to 3 years (up to 5 years) of experience in project coordination or a similar role, in an intermediate/entry-level coordinator capacity., • Demonstrated experience with documentation, including writing and organizing project documents and meeting notes., • Experience running or facilitating meetings, including preparing agendas, capturing action items, and following up on next steps., • Experience with purchase orders or procurement processes for equipment and materials., • Exposure to budgeting activities and a basic understanding of cost structures and cost analysis., • Proficiency in Microsoft Office Suite, including strong skills in Microsoft Excel for reporting, tracking, and documentation., • Foundational project coordination or project management skills, including scheduling, planning, and reporting., • Strong organizational skills with the ability to manage multiple tasks and priorities in a structured manner., • Strong written and verbal communication skills, with the ability to interact effectively with cross-functional teams., • Basic understanding of IT infrastructure and how it relates to construction and renovation projects., • Ability to work in a hybrid environment and regularly attend project sites across Nassau County, including locations as far as South Hampton., • Comfort coordinating large-scale projects and site surveys involving multiple IT teams and stakeholders. Additional Skills & Qualifications • Experience in administrative, communications, or IT roles that involved coordination, documentation, or stakeholder communication., • Experience supporting project managers or Senior leaders on complex or multi-site projects., • Familiarity with project scheduling and project planning tools or methodologies., • Experience coordinating with real estate or facilities teams on construction or renovation initiatives., • Exposure to healthcare or similarly complex, regulated environments., • Ability to adapt quickly, learn new project processes, and take on increasing responsibility over time., • Strong attention to detail and accuracy in documentation, reporting, and record keeping., • Proactive mindset with a willingness to take initiative in following up on tasks and resolving issues. Job Type & LocationThis is a Contract position based out of Mineola, NY. Pay and BenefitsThe pay range for this position is $30.00 - $40.00/hr.
