Role: Executive Assistant Reports to: Chief Marketing Officer Location: Paris ROLE The Executive Assistant ensures the smooth, efficient, and anticipatory functioning of the Chief Marketing Officer. The role acts as key support for day-to-day priorities and long-term objectives, requiring a composed and organised individual with experience in a dynamic luxury environment. The Executive Assistant manages schedules, coordinates logistics, facilitates information flow, and serves as a structured point of contact for internal teams and external partners. The role strengthens organisational efficiency and leadership impact. In direct alignment with top management (CEO Office, Creative Directors Office, Executive Committee), this role ensures seamless execution of priorities and provides the clarity and structure required for both leadership functions to operate effectively. KEY RESPONSIBILITIES Executive Coordination & Leadership Support • Manage complex calendars and prioritise agendas and engagements based on strategic relevance., • Organise and coordinate bookings related to leadership needs, including travel, restaurants (business-related), and other appointments., • Prepare and process expense reports, ensuring accuracy and timely submission., • Validate travel bookings, expenses, and holiday requests for team members, ensuring compliance with company rules., • Coordinate itineraries, logistics, and follow-ups related to leadership movements and brand initiatives., • Serve as the first point of contact for incoming requests, ensuring clear routing of information and timely follow-through. Confidentiality & Governance • Handle confidential and sensitive matters with discretion and professionalism., • Maintain structured records, correspondence, and documentation, ensuring information is accessible, organised, and up to date. Cross-Functional Liaison • Connect leadership with sub-departments within Marketing and other functions in the Executive Committee, ensuring alignment and timely information exchange., • Work cross-functionally with the CEO Office, Creative Directors, departments represented at Executive Committee level, regional CEOs, and LVMH executives., • Track progress of key initiatives, ensuring milestones and deliverables are met across stakeholders. Documentation & Communication • Draft and refine correspondence, internal notes, recaps, and meeting documents with clarity and accuracy., • Ensure consistency in tone, format, and follow-up actions related to leadership communications. Information Flow & Alignment • Facilitate information circulation between leadership, merchandising, communications, other departments, and external partners as required., • Ensure clarity, continuity, and timely updates across all touchpoints. Operational Rigor • Anticipate needs, identify gaps, and support practical solutions before issues arise., • Uphold organisational standards, best practices, and internal processes aligned with leadership expectations.
