Sales & Events Assistant fixed term 2 months Urban Pubs & Bars | City of London Urban Pubs & Bars is looking for an organised, proactive and enthusiastic Sales & Events Assistant to join our team on a fixed-term, 2 month contract to support our venues during the busy festive season. If you enjoy working in a fast paced hospitality environment, have excellent communication skills and love making sure every detail is taken care of, we would love to hear from you! The Role Working closely with the Sales & Events team and our venues, you will help ensure that festive bookings run smoothly from the planning stages through to the event itself. Your main responsibility will be to act as a key point of contact between guests and venues, making sure all event details are confirmed, deadlines are met and our venue teams have everything they need to deliver a fantastic guest experience. Key responsibilities include: Guest communication: Act as a key point of contact for guests, responding to queries, managing requests and keeping correspondence professional, clear and up to date. Pre orders, payments & contracts: Proactively follow up with guests to ensure food and drinks pre orders are received on time, payments are completed and contracts are signed ahead of their events. Event administration: Prepare and update function sheets, venue run sheets, place cards and other event documents, ensuring all details are accurate and completed on time. Booking management: Keep booking information, guest correspondence and internal records fully up to date, keeping track of multiple bookings, deadlines and outstanding actions simultaneously. Final event details: Manage final arrangements and last minute updates from guests ahead of their booking dates, ensuring all changes are recorded and actioned. Venue coordination: Communicate important booking information, timings, dietary requirements, guest requests and changes clearly to venue teams, ensuring everyone is fully briefed ahead of each event. Festive event support: Assist with the coordination of Christmas bookings, helping the team stay organised and ensuring no important details are missed during our busiest weeks. On the day hosting: Support venues on busy days when needed, welcoming guests, assisting with event arrangements and helping ensure everything runs smoothly. General team support: Assist the wider Sales & Events team with administrative tasks and day to day coordination throughout the Christmas period. Experience & Skills Previous experience in hospitality, events, administration or customer service is desirable. Excellent written and verbal communication skills. Strong organisational skills and excellent attention to detail. A proactive approach, with the confidence to follow up with guests and keep deadlines on track. The ability to manage multiple bookings, competing priorities and last-minute changes. Confidence communicating with guests and venue teams. Working knowledge of Microsoft Office A positive, hands on attitude and a willingness to get involved wherever needed. An interest in hospitality, events and delivering great guest experiences. The Contract Duration: Fixed-term, 2 months. Period: Christmas and festive season. Location: City of London, working closely with our venues and central Sales & Events team.
