Location: Remote, with occasional attendance at a London office Hours: Monday to Friday, 9:00 AM to 6:00 PM Pay: £14.82 per hour Job Type: Full-time About the Role We are recruiting on behalf of our client for an organised, reliable and professional individual to join their team in a full-time remote administrative position. This is a varied, communication-focused role involving customer liaison, scheduling, online administration, record keeping and general operational support. You will act as an important point of contact for customers and clients, helping to manage incoming enquiries, coordinate appointments, maintain accurate records and ensure relevant information is communicated to the appropriate members of the team. The role is primarily remote, with the majority of your responsibilities carried out from home using online platforms, email and internal company systems. From time to time, you may be required to attend the client's London office for training, meetings or other operational requirements. This position would suit somebody who is organised, comfortable communicating with people online and able to manage several administrative responsibilities throughout the working day. What You'll Be Doing Your responsibilities will include: • Responding to customer and client enquiries through email, online platforms and internal systems, • Providing clear, polite and professional responses to general enquiries, • Gathering relevant information from customers and ensuring details are accurately recorded, • Managing incoming enquiries and ensuring they are responded to or passed to the appropriate team member, • Coordinating appointments and managing daily schedules, • Checking availability and arranging suitable appointment dates and times, • Booking, confirming, rescheduling and cancelling appointments where required, • Sending appointment confirmations, reminders and relevant updates, • Keeping schedules accurate and up to date throughout the working day, • Communicating schedule changes, cancellations and other important updates to colleagues, • Monitoring shared inboxes, online portals and internal systems, • Maintaining accurate customer records and administrative logs, • Completing data entry and updating internal tracking documents, • Uploading and updating online listings, advertisements and information when instructed, • Uploading photographs, descriptions and other information to online platforms, • Reviewing information carefully to ensure it is complete and accurate, • Making amendments to online information when requested, • Liaising with different members of the team to ensure information is passed on promptly, • Providing live updates to colleagues where appointments or customer circumstances change, • Recording important notes, requests and information from customer conversations, • Following up on outstanding administrative matters where required, • Escalating enquiries to a supervisor or relevant department when further guidance is needed, • Supporting other departments with straightforward administrative tasks when required, • Updating templates, documents and internal records, • Ensuring outstanding enquiries and incomplete tasks are appropriately handed over, • Following company procedures when handling customer and business information, • Maintaining confidentiality and using company-approved systems when handling information Customer Liaison Communication will form an important part of your working day. You will regularly communicate with customers through approved online platforms and email, helping them with general enquiries, arranging appointments and keeping them updated where appropriate. You are not expected to have the answer to every question. Where an enquiry falls outside your responsibilities or you are unsure of the correct information, you will be expected to refer the matter to the appropriate colleague or supervisor. We are looking for somebody who can communicate naturally and professionally while maintaining accuracy and following the correct processes. Scheduling & Organisation A significant part of the position involves coordinating schedules and appointments. You will need to keep track of available times, customer availability, cancellations, rescheduling requests and changes throughout the day. Accuracy is important. Information should be recorded promptly so that other members of the team have access to the latest schedule and customer updates. You should therefore be comfortable working with calendars, online forms, internal tracking systems and other digital tools. What We're Looking For Previous experience in administration, customer service or a similar position may be beneficial, but it is not essential as training and guidance will be provided. You will be expected to maintain the same professional standards when working remotely as you would in an office environment. London Office Attendance Although this is a remote position, it is not exclusively home-based. From time to time, you may be required to attend the client's office in London for training, meetings, operational support or other reasonable business requirements.
