We seek an Office Administrator who will oversee the smooth running of all day-to-day administrative operations. This role is essential in ensuring the team is fully supported and able to deliver a wide range of projects, events, and residencies with efficiency and professionalism Objectives & Aims • Ensure seamless daily operations by managing administrative processes that keep the team organised, informed, and able to focus on delivering high-quality projects, events, and residencies., • Strengthen internal coordination by acting as a central point of contact across departments., • Enhance operational efficiency through maintaining and improving systems, documentation, and workflows that support planning, scheduling, and project delivery., • Support financial and logistical administration to help the team meet deadlines, track activity, and maintain accurate records., • Contribute to a positive team environment Success in the role will be clear when the business is seamlessly and consistently supported. Duties of the Office Administrator • Create and send contracts and invoices for all confirmed events., • Process inbound invoices to ensure prompt and accurate payment., • Manage client debtor records and support credit control processes., • Produce, update, and maintain spreadsheets for monthly accounts., • Oversee diary management across the team, including booking meeting rooms., • Take minutes for team meetings when required., • Prepare and manage the office environment, • Manage the main company inbox and phone line, ensuring timely responses., • Oversee and maintain Monday.com, ensuring tasks are assigned and updated., • Book and manage UK and overseas travel and accommodation for Directors and artists when needed., • Be the first point of escalation for office-based issues, e.g., IT, systems, etc, • Maintain and clean the company database and booking software., • Support client reengagement outreach activities., • Work closely with internal colleagues to provide administrative support across all departments., • Arrange team socials and support internal culture initiatives.
