Something Extraordinary Every Day™ As the Executive Assistant to the President, you will provide efficient day-to-day support, ensuring the smooth operations of the office of the President of Belmont Park Village. What you will be doing • Plan and organize travel to maximize efficiency and cost-effectiveness, incorporating additional meetings where possible., • Manage end-to-end travel logistics, including booking flights, accommodations, ground transportation, and dining arrangements in collaboration with internal travel teams and local offices., • Manage high volumes of incoming and outgoing emails, prioritizing and flagging items requiring action., • Maintain organized email filing systems., • Draft and prepare communications, including emails, letters, and other correspondence., • Handle confidential and sensitive information with discretion., • Respond to internal and external inquiries with professionalism and sound judgment., • Manage complex calendars, including scheduling meetings, engagements, conference calls, and travel., • Oversee meeting invitations by prioritizing requests and handling frequent scheduling changes., • Develop a strong understanding of “who’s who" in the business and business priorities to determine urgency and meeting importance., • Coordinate meeting logistics, including sending invitations on behalf of colleagues and working with other assistants to secure suitable times., • Arrange meetings and prepare rooms and refreshments as needed., • Participate in meetings by taking clear notes and proactively following up on action items when needed., • Assist with projects, including preparing presentations, documents, and materials., • Manage multiple priorities simultaneously and follow up to ensure timely completion of tasks and commitments. To be successful with us, you’ll have: • A minimum of two years’ experience as an Executive Assistant or in administrative support., • A proactive, solution-oriented approach, with the ability to anticipate challenges and resolve issues before they escalate., • Strong organization and attention to detail, with the ability to multitask, prioritize effectively, and meet deadlines with minimal supervision., • A collaborative mindset, with the ability to thrive in team-based environments and build strong working relationships., • Excellent written and verbal communication skills., • Adaptability and resilience, with the ability to perform effectively in fast-paced, dynamic environments while managing competing priorities., • The highest level of confidentiality, professionalism, and integrity., • A strong sense of ownership and accountability, with the ability to drive tasks and projects through to completion independently., • Confidence in interacting with senior leadership and stakeholders., • Advanced proficiency in Microsoft Office, including Outlook, PowerPoint, and Excel., • A willingness to learn and stay current with emerging technologies and tools., • Experience with expense management systems, such as Oracle or similar., • Experience with travel booking systems, such as ATPI or similar. Compensation transparency The base salary range for this position is $80,000 – $110,000 annually, with compensation aligned to years of relevant Executive Assistant experience and demonstrated capability supporting senior leadership. Indicative salary guidelines: • 2–3 years of experience: $80,000 – $88,000, • Early-career Executive Assistants with foundational administrative and coordination experience., • 4–5 years of experience: $88,000 – $97,000, • Professionals with strong organizational skills, calendar and travel management experience, and exposure to senior stakeholders., • 6–8 years of experience: $97,000 – $105,000, • Highly experienced Executive Assistants with a proven track record of supporting executives in fast-paced environments and managing complex priorities., • 8+ years of experience: $105,000 – $110,000, • Senior-level Executive Assistants with extensive experience supporting C-suite or President-level executives, demonstrating high ownership, discretion, and strategic support capabilities. Final compensation will be determined based on a combination of experience, skills, and overall fit for the role.
